Find the gaps in the plan the day after kickoff

Three questions for the client the day after the kickoff meeting: how clear scope, roles, the timeline and communication are, how confident they feel in the plan, and any worry that hasn't come up. Usertick reads every written answer and flags the urgent ones.

What this kickoff survey tells you

A project kickoff survey checks that the client left the kickoff with the same picture as your team. This template asks three questions in about a minute: a grid on scope, who does what, the timeline and how you will communicate, a 1 to 10 confidence score for the plan, and an open question for worries nobody raised in the room.

It is written for an email the day after kickoff, when the meeting is fresh and nothing has been built yet. Usertick can send it to everyone on the client side, with a button that opens the survey, or you can paste its link into your kickoff recap email or the project channel. It also runs as a conversation, one question at a time.

Each written worry is read as it arrives and filed under a category such as scope and changes, deadlines and delivery or communication, with a type and an urgency, and each response gets a customer risk reading. Results draws the grid as a heat map with row averages and shows the confidence score as an average with a column per step, compared with the period before.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Matrix · Optional

After the kickoff, how clear is each of these?

Why ask it
Much project trouble starts with a gap in scope, roles or timing that nobody noticed at kickoff. Three plain columns, from Not yet to Fully, show where to send a clarification.
What you learn
A heat map with one row per item and its average, so Timeline at Partly for half the client team reads at a glance.
Make it yours
Send a short written follow-up on any row answered Not yet or Partly within the week, before work begins.
Question 2 of 3 · Big scale

How confident are you in the plan?

Why ask it
Clarity and confidence differ: a client can understand the plan and still doubt it. A 1 to 10 scale leaves room to show doubt without calling the plan wrong.
What you learn
The average on the 1 to 10 scale and a column per step, compared with the period before, so you can see whether your kickoffs leave clients more confident over time.
Make it yours
Ask anyone who answers 6 or lower what would raise the score, in the first weekly call.
Question 3 of 3 · Text · Optional

Is there anything you're worried about that hasn't come up yet?

Why ask it
Clients often hold back a concern in a group meeting. Asking in writing, the next day, gives it room before it becomes a problem on the timeline.
What you learn
Usertick reads each answer as it arrives, files it under a category and a theme from your list, marks it as a question, a complaint or an idea, and flags the urgent ones, in any language.
Make it yours
Keep it optional, and reply to every worry in writing before the first deliverable is due.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Send it the next morning

Schedule the send before the kickoff ends, for the next morning, so it reaches the client team while the meeting is fresh.

  2. 02

    Include everyone who attended

Add every client attendee to the send. A gap between the sponsor and the day-to-day contact on Who does what is worth a call.

  3. 03

Rewrite the grid for the project

Add rows that matter for this kind of work, such as Approvals, Content owners or Launch date, and keep the three columns.

  4. 04

Repeat it at the first milestone

Send the same survey again at the first milestone to see whether the gaps closed, with Skip people who already received this survey turned off for that send.

Frequently asked questions

The day after the kickoff meeting. A few days later, the client has already filled the gaps with guesses.

Only some question types can be answered inside the email: NPS, Stars, CES, Emoji, Yes / No, multiple choice and dropdown. A grid shows a button that opens the survey, which takes one extra tap.

Call the client before work starts and walk through the part of the plan they doubt. Then note what changed in the project channel so both teams see it.
