Event venue feedback survey template

Learn what organizers need, to bring the next event to you

Three questions for the person who ran the event: a rating for the rooms, audio and video, catering, staff and Wi-Fi, a recommendation score and what would have made their day easier. Use it as it is or change any question, and Usertick reads every written answer for you.

What this event venue feedback survey tells you

An event venue feedback survey asks the organizer, the person who decides whether to book again, how your venue served their day. This template keeps it to three questions and about a minute: a grid for the meeting rooms, audio and video equipment, catering, event staff and Wi-Fi, a recommendation score among other organizers, and one open question.

It is written for an email a few days after the event, once the organizer has heard from attendees and the invoice is settled. Usertick sends it to the organizers on your contact list, or you add the link to your own follow-up message. It also runs as a conversation that asks one question at a time.

Every written answer is read as it arrives and filed under a category from your list, such as room and facilities or staff and service, with a type, a sentiment and an urgency. Results shows a heat map for the five parts of your venue and the NPS with its split of detractors, passives and promoters, each against the period before.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Matrix · Optional

How would you rate the following?

Why ask it
Organizers judge a venue by what failed on the day: a projector that wouldn't connect, lunch that came late, Wi-Fi that dropped during a demo. Five rows separate the rooms from the equipment, the food and the people.
What you learn
A heat map with a row for each part and its average, so a weak row such as audio and video stands out. Compare it with the period before after you replace equipment or change caterers.
Make it yours
When you send by email, consider moving the recommendation question first: a grid shows a button in the email, while an NPS question can be answered inside the message.
Question 2 of 3 · NPS

How likely are you to recommend our venue to other event organizers?

Why ask it
Event organizers talk to each other and plan more than one event a year, so this score tells you how likely the organizer is to send the next booking your way.
What you learn
The NPS, a bar of detractors, passives and promoters, the split by device and a score line over time. Select the detractors to see which rows of the grid they rated lowest.
Make it yours
Have the events manager call every detractor within a week, with their grid and written answer in hand.
Question 3 of 3 · Text · Optional

What would have made the day easier for you as the organizer?

Why ask it
Organizers carry the load on the day. Asking what would have made it easier gets practical fixes, such as an earlier load-in, one contact person or clearer signs to the rooms.
What you learn
Usertick reads each answer, files it under a category and a theme, marks it as an idea, a complaint or praise, and flags urgent ones. Results lists the answers by theme, with up to 8 themes and their trends.
Make it yours
Pass each idea to the team that owns it by giving the response an owner and a status in the inbox.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

Wait a few days, then send

Send the survey two to four days after the event, after the organizer has heard from attendees and before the next project fills their week.

  2. 02

    Ask the person who booked

Import the organizer who signed the contract as a contact. Attendees judge the program; the organizer judges the venue.

  3. 03

    Add rows for your venue

Add rows for parking, signs or step-free access when organizers ask about them, and turn on the Not applicable column for rooms or services they didn't use.

  4. 04

    Keep answers with the account

On every plan, the HubSpot integration writes each organizer's scores to their contact. A Zapier step can send the answer to Salesforce.
