Quote follow-up survey template

Find out why quotes stall, while the customer is still deciding

Four quick questions a few days after a quote goes out: how clear it was, how the price compares, what would help the customer decide and when they expect to. Usertick reads every typed Other answer, so an objection you didn't expect reaches you before the follow-up call.

What this quote follow-up survey tells you

A quote follow-up survey asks customers how your quote landed while the decision is still open. This template asks how clear the quote was on a five-star scale, how your price compares with other quotes they have received, what would help them decide, from a lower price to a guarantee, and when they expect to decide. It takes about 45 seconds.

It is written for an email three to five days after the quote goes out, long enough for the customer to compare and early enough to change the outcome. Add the customers you quoted that week to a list and schedule the send, or put the survey link in your own follow-up email. It fits trades, agencies, business services and any company that sends written quotes.

Results shows the average clarity with a bar per star, the share of higher, similar and lower price comparisons, bars for what would help, and a donut of decision timing, each against the period before. Select Higher to see what those customers say would help them decide. Usertick reads every typed Other answer and gives it a category and a type.

The 4 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 4 · Stars

How clear was the quote we sent?

Why ask it
A quote that is hard to read loses deals before price comes into it. Clarity is the part of the quote fully in your control.
What you learn
The average, a bar per star and the share who rated 4 or higher, against the period before. Select 1 or 2 stars to see how those customers compare your price.
Make it yours
When clarity drops, check the quotes behind the low ratings for missing line items or fees nobody explained.
Question 2 of 4 · Multiple choice

How does our price compare with other quotes you've received?

Why ask it
Customers who compare quotes will tell you where you stand on price, which your won and lost deals can't show on their own.
What you learn
A donut with the share of each answer, against the period before, with I haven't received other quotes kept apart, so you know how often you are the only bid.
Make it yours
Select Higher and read question 3, to see whether a smaller scope or installments would close the gap without a discount.
Question 3 of 4 · Multiple choice · Optional

What would help you decide?

Why ask it
The options name the levers you can pull besides price: installments, a smaller first phase, references and a guarantee. Customers can pick several.
What you learn
Bars with the share and count of each lever, with typed Other answers listed and stacked shares over time.
Make it yours
Offer only levers you can deliver, remove the guarantee if you don't give one, and add any lever your sales team already uses, such as a fixed delivery date.
Question 4 of 4 · Multiple choice

When do you expect to decide?

Why ask it
Timing tells your team when to follow up and how much effort each quote deserves this week. A customer deciding this week needs a call; one deciding in three months needs a reminder.
What you learn
A donut with the share of each answer. Select This week to see the quotes worth a call today.
Make it yours
On every plan, a HubSpot workflow step creates a follow-up task for the quote's owner, with a due date and a priority.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Send it before you chase

Send the survey before your first follow-up call, so the call starts from what the customer said.

  2. 02

    Follow up by timing

Call the This week answers first, email the This month ones and keep Not sure yet for a later round.

  3. 03

    Fix the quote itself

If clarity ratings drop, rewrite the part of the quote customers ask about most, such as line items or terms, and compare with the period before.

  4. 04

    Review price against wins

Each quarter, read the price comparison next to the deals you won and lost, to decide whether to change the price or the way you present it.
