Usertick
Weekly client pulse template

Catch a worried client while it is still a small fix

Three questions for the end of each week: how the client feels about the project, what is blocking them on their side and what they need from your team. Usertick reads every written answer and flags the urgent ones.

What this weekly client pulse tells you

A weekly client pulse survey gives you a short, regular read on how a project feels from the client's side. This template asks three questions in under a minute: a dial from Worried to Excited, what is blocking them on their side, and what they need from your team.

It is written for an email at the end of each week, often on Friday, when the client looks back on the week. Usertick doesn't repeat a send on its own, so schedule each week's send or press Send again on last week's. The link also fits at the bottom of your own weekly status email or in the project channel, and the survey runs as a conversation too.

Each written answer is read as it arrives and filed under a category such as deadlines and delivery or communication, with a type and an urgency, and each response gets a customer risk reading. Results shows the share of each face against the period before and the share of each blocker, so a run of Waiting on approvals is plain to see.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Mood dial

How do you feel about the project this week?

Why ask it
A feeling is quicker to give than a score, and the words from Worried to Excited match how clients talk about a project in its middle weeks.
What you learn
The faces from unhappy to happy, each with its share, compared with the period before. Select Worried or Unsure to read only those clients' blockers and requests.
Make it yours
Read every Worried answer the same day, and call before the weekend when you can.
Question 2 of 3 · Multiple choice · Optional

Is anything blocking you on your side?

Why ask it
Many agency delays start on the client side, with approvals or content that hasn't arrived. Naming them each week makes the cause visible without blame, and the client can pick several.
What you learn
Bars with the share and count for each blocker, with the typed Other answers listed and stacked shares over time, so you can show a client that approvals have held the project for three weeks.
Make it yours
Keep Nothing as an option so a clear week is a quick answer, and add your project's usual blockers, such as Legal review or Product samples.
Question 3 of 3 · Text · Optional

What do you need from us this week?

Why ask it
An open request each week gives the client a set place to ask, so small asks reach you before they turn into complaints.
What you learn
Usertick reads each answer as it arrives, files it under a category and a theme from your list, marks it as a question, an idea or a complaint, and flags the urgent ones.
Make it yours
Assign each request an owner in the inbox on Monday morning, and close it with a status when it is done.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

Send it at the same time each week

Pick a time, such as Friday afternoon, and schedule each week's send. Usertick has no recurring sends, so set up next week's send when you read this week's answers.

  2. 02

Turn off the skip for repeat sends

Skip people who already received this survey is on by default. Turn it off for each weekly send, so the same client gets it again.

  3. 03

Show the blockers on the next call

Share the blocker chart in your weekly call. Three weeks of Waiting on content in one chart makes the case without an argument.

  4. 04

    Keep it to one minute

Resist adding questions. A weekly survey works because it is short, so put deeper questions in a monthly or milestone survey.
