Retainer renewal survey template

Go into the renewal talk knowing where the client leans

Three questions for six weeks before a retainer renews: how much value the client gets for the fee, how they would split next year's work and whether they lean toward renewing, changing, reducing or pausing. Add an open question and Usertick reads every written answer too.

What this retainer renewal survey tells you

A retainer renewal survey asks the client how they value the retainer before the contract talk, while there is time to shape the offer. This template asks three questions in under a minute: a 1 to 10 value score for the monthly fee, 100 points split across what next year should cover, and what they are leaning toward.

It is written for an email six weeks before the renewal date, early enough to change the proposal and late enough for the year to be judged. Usertick can send it to the client contact who owns the budget, with a button that opens the survey, scheduled up to 30 days ahead, or you can paste its link into your own email.

Results shows the value score as an average with a column per step, the average points for strategy, content, design, development and reporting, and the share of each renewal choice, compared with the period before. The template has no open question, so add one if you want reasons in writing, and Usertick reads each answer and files it under a category such as pricing and quotes or scope and changes.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Big scale

How much value do you get for the monthly fee?

Why ask it
Value for the fee is the question behind every renewal. A 1 to 10 scale from Very little to A great deal shows how firmly the client feels it.
What you learn
The average on the 1 to 10 scale and a column per step, compared with the period before. Select the low steps to see how those clients split next year's work.
Make it yours
Talk to any client who answers 6 or lower before you send the renewal proposal.
Question 2 of 3 · Points allocation · Optional

Divide 100 points across what next year's retainer should cover

Why ask it
Splitting 100 points across services shows where the client wants the money to go next year, which a list of checkboxes can't show.
What you learn
The average points for each service, so a shift from Design toward Reporting is plain before you price the new retainer.
Make it yours
Replace the items with the services in your retainer, and keep in mind that the answer counts once all 100 points are placed.
Question 3 of 3 · Multiple choice

What are you leaning toward?

Why ask it
It asks for a direction with no commitment, so clients can answer honestly before the formal talk.
What you learn
A donut with the share and count for each choice. Choose Reduce the retainer or Pause it to see the value scores and point splits from those clients.
Make it yours
Call within a day when a client picks Reduce the retainer or Pause it, and bring a smaller option to the conversation.

What the answers show

Results turns each question into numbers you can follow week by week.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Send it six weeks ahead

Work from your renewal calendar and schedule each send up to 30 days ahead, so every client gets it with time to change the proposal.

  2. 02

Send it to the budget owner

The person who signs the renewal may not be your day-to-day contact. Send it to both and compare their answers in the inbox.

  3. 03

Build the proposal from the points

Use the point split to weight next year's scope, and show the client their own split when you present it.

  4. 04

Add one open question for reasons

The template keeps to three questions. Add Why did you choose that? after the last question when you want reasons Usertick can read and file.
