Restaurant reservation survey template

Find out how booking a table went, and how long guests waited at the door

Four questions for guests who booked ahead: how easy booking was, which way they booked, how many minutes they waited to be seated and what to improve. Use it as it is or change any question, and Usertick reads every written answer for you.

What this restaurant reservation survey tells you

A restaurant reservation survey looks at the part of the evening before the food: getting a table and being seated. This template asks four questions in under a minute: a customer effort score for booking, the way the guest booked, the wait at the door on a ruler from no wait to 30 minutes or more, and one open question.

It is written for an email after the visit, sent by Usertick to the guests on your booking list, so each answer comes from someone who booked ahead. The same survey runs as a link in the confirmation message your booking system sends, as a QR code on the host stand or the receipt, or as a conversation that asks one question at a time.

Every written answer is read as it arrives and filed under a category from your list, such as booking and reservations or check-in and arrival, with a type and an urgency. Results shows the share who found booking easy, the share of each booking channel and the median wait with its middle half, each against the period before.

The 4 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 4 · Customer effort

How easy was it to book your table?

Why ask it
A booking that takes three phone calls, or a form that fails on a phone, can lose the table before the guest arrives. A scale from very difficult to very easy measures that friction directly.
What you learn
The average on the 1 to 7 scale, the share who found booking easy and a hard-to-easy bar, against the period before. Select the hard end to see which booking channel those guests used.
Make it yours
Keep it first, since a customer effort question can be answered inside the email with one tap.
Question 2 of 4 · Dropdown · Optional

How did you book?

Why ask it
Each way of booking has its own weak spots, from a busy phone line to a booking site that shows the wrong times. Paired with the effort score, the channel shows which one needs work.
What you learn
A donut with the share and count of each channel, the typed Other answers listed, and the shares over time. Select By phone to compare how easy phone bookings were with bookings on your website.
Make it yours
Remove In our app if you don't have one, and name the booking site you use in its option, so guests recognize it.
Question 3 of 4 · Ruler · Optional

How long did you wait to be seated?

Why ask it
Guests with a reservation expect a table at their time, and the wait at the door sets the tone for the rest of the evening. A ruler lets them answer in minutes, which you can compare from week to week.
What you learn
The median wait and the middle half of answers, so you see the typical wait and how far it spreads, compared with the period before.
Make it yours
Keep the open top end at 30 minutes or more, so a guest who waited longer still has an answer that fits.
Question 4 of 4 · Text · Optional

Is there anything about booking or arriving we should improve?

Why ask it
It catches what the scale can't, such as a confirmation that never arrived or a table given to someone else, in the guest's own words.
What you learn
Usertick reads each answer as it arrives, files it under a category and a theme from your list, marks it as a complaint, an idea or a question, and flags urgent ones. Results lists the answers by theme, with up to 8 themes and their trends.
Make it yours
Give complaints about lost bookings an owner in the inbox, so someone calls the guest back and checks the booking system.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Send it the morning after

Import the previous night's bookings as contacts and send the survey the next morning, while the arrival is still clear in the guest's mind.

  2. 02

Fix the lowest scoring channel first

Select each booking channel in Results and compare the effort scores before you change your booking tools or your phone hours.

  3. 03

    Share the median wait

Give the host team the median wait each week. A number they can move is easier to act on than a pile of comments.

  4. 04

Change one thing at a time

After you change the booking page or the seating plan, leave the survey as it is for a few weeks, so the comparison with the period before shows the effect.
