Workplace tools survey template

Find the tool that wastes the most time, before the renewal is due

Three questions for employees on the tools they use every day: a rating for each one, the tool they would replace first and how much time tool problems cost them each week. Use it as it is or add an open question, and Usertick reads every written answer for you.

What this workplace tools survey tells you

A workplace tools survey asks employees how well the software they work in every day serves them, so renewals rest on what people need. This template asks three questions in about 50 seconds: a rating for chat, email, the project tracker, documents and video calls, the tool to replace first, and the weekly time tool problems cost.

It is written for once a year, a month or two before your software renewals, as a link in your team chat or an email Usertick sends to every employee, where a button opens the survey. It can also open as a popup inside an internal web app when the Usertick script runs there, which reaches people while they work.

Results shows a heat map of the five tools, the share who would replace each one and the share in each time band, compared with the period before. The template has no open question; add one and Usertick reads each answer, files it under a category such as tools and processes, and marks bugs, ideas and complaints.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Matrix · Optional

How well do these tools work for you?

Why ask it
One grid rates every core tool on the same scale, so you can compare them in one look.
What you learn
A heat map per tool with its average, so the weakest tool and the spread of opinions show at once.
Make it yours
Use your tools' real product names, and add any tool with a renewal coming up.
Question 2 of 3 · Multiple choice

Which tool would you replace first?

Why ask it
Ratings show what is weak, and this question forces the one choice that matters for a renewal.
What you learn
A donut with the share and count for each tool, with None of them as its own slice. Select a tool to see how the people who chose it rated the rest of the grid and how much time they lose.
Make it yours
Keep the options the same as the grid rows, so the answer lines up with the ratings, and keep None of them for people who are content.
Question 3 of 3 · Multiple choice

How much time a week do tool problems cost you?

Why ask it
Time lost puts a cost on bad tools, which helps when you make the case for a change.
What you learn
A donut with the share of each band, compared with the year before. Select More than 3 hours to see which tool those people would replace first.
Make it yours
Multiply the share in each band by your headcount for a rough count of hours lost each week, and bring it to the renewal discussion. Run the same survey after a switch to see whether the hours went down.

What the answers show

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Time it before renewals

Run it a month or two before contracts renew, so the answers can still change a decision.

  2. 02

    Name your real tools

Replace Chat or Project tracker with the product names people use, so nobody has to guess which tool a row means.

  3. 03

    Add a why question

Add What is the biggest problem with the tool you would replace? as an optional last question, and Usertick reads each answer and files it under a category and a theme.

  4. 04

Compare teams that use tools differently

Add a question that names the team, since engineering and sales may use the tracker in very different ways, and select its answers in Results.
