User interview screener template

Find the right people to interview, before you book a single call

Five questions that sort volunteers by role, company size and how often they use your product, then ask who will join a 30-minute call and where to send the invite. Results lists every volunteer's name and email next to their answers.

What this interview screener tells you

An interview screener survey picks the people worth talking to before anyone books a call. This template asks for the person's role, the size of their company and how often they use your product, then whether they would join a 30-minute video call and where to send the invite. Five quick answers, about 55 seconds, give you enough to choose a balanced group.

It is written for an email to your active users before a research round, sent to a contact list now or scheduled up to 30 days ahead. You can also share its link in your newsletter, your community or a message your own app shows, so volunteers come from more than one place.

Results shows the share of each role, company size and usage frequency, the share who said yes to a call, and a table of names and emails from the last question. Select a role, such as Product or design, to narrow the whole page, the contact table included, to the people you need for this round.

The 5 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 5 · Dropdown

Which best describes your role?

Why ask it
Role decides whose problems a person can speak to. A dropdown keeps the list tidy, and the write-in Other catches roles you didn't list.
What you learn
A donut with the share and count of each role, with the typed Other answers listed. Select a role to narrow the whole page, the contact table included, to those people.
Make it yours
List the roles your research is about first, and remove the ones you won't interview.
Question 2 of 5 · Multiple choice

How many people work at your company?

Why ask it
Company size changes how people buy and use a product, from a founder working alone to a team inside a large company, so it helps you spread interviews across segments.
What you learn
A donut with the share and count of each size band, so you can see whether your volunteers look like your customer base.
Make it yours
Change the bands to match how you segment customers, such as by number of seats or locations.
Question 3 of 5 · Multiple choice

How often do you use our product?

Why ask it
Daily users can walk you through their routine, while occasional users can tell you why they don't come back more often. Both are worth hearing, for different questions.
What you learn
A donut with the share of each frequency. Select Less often to see who those users are and whether they agreed to a call.
Make it yours
Recruit from both ends of the range, and note each person's frequency in your interview notes.
Question 4 of 5 · Yes / No

Would you join a 30-minute video call with our team?

Why ask it
A clear yes or no separates volunteers from people who only wanted to answer the survey, and naming the length up front sets expectations.
What you learn
The share that said yes, against the period before. Select Yes to see only the people you can invite.
Make it yours
Add a rule so No ends the survey, and change the length in the label if your calls run longer.
Question 5 of 5 · Contact · Optional

Where should we send the invite?

Why ask it
The invite needs a name and an email. Asking last keeps the request for personal details until the person has decided to take part.
What you learn
A table of names and emails next to each person's role, company size and usage, ready for your calendar invites.
Make it yours
Turn on only the fields you need, such as name and email, and add Company when you want to avoid two interviews at one customer.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

End the survey after a No

Add a skip rule so a No on the call question ends the survey. People who won't join a call aren't asked for their email.

  2. 02

    Pick a balanced group

Before booking, choose each role and frequency in Results and pick a few people from each, so one segment doesn't decide your findings.

  3. 03

    Say what people get

Mention the length of the call and any thank-you, such as a gift card, in the email intro, so volunteers know what they agree to.

  4. 04

    Keep a list of volunteers

Add the people who said yes to a contact list such as Research panel, so your next round starts with people who already raised their hand.
