Usertick
Quarterly check-in survey template

Check in with every account, before next quarter's plans are set

Four questions at the start of each quarter: how working with you compares with last quarter, the value customers get, the hours you save them and what to focus on next. Usertick reads every answer about next quarter and groups it by theme.

What this quarterly check-in survey tells you

A quarterly check-in survey asks customers how the relationship is going and where it should go next. This template asks how working with you compares with last quarter, how much value they get right now on a 1 to 10 scale, about how many hours a week you save them, and what you should focus on next quarter, in under a minute.

It is written for an email at the start of each quarter to the customers your account or success team looks after. Send it to a list now or schedule it up to 30 days ahead, and put the next quarter's send in your calendar, since sends don't repeat on their own. The email carries a button that opens the survey at its first question.

Results shows the share of each face from much worse to much better, the average value with a column per step, and the median hours saved with the middle half, each against the period before. Every answer about next quarter is read and filed under a category and a theme, and each response gets a customer risk reading, so an account that is slipping shows before renewal.

The 4 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 4 · Mood dial

Compared with last quarter, how do you feel about working with us?

Why ask it
A comparison with last quarter captures direction, which tells you whether an account is moving toward renewal or away from it. The dial runs from much worse to much better, so the middle means nothing changed.
What you learn
Five faces from much worse to much better, each with its share, against the period before. Select Worse or Much worse to see those customers' value scores and focus requests.
Make it yours
Send it to the person who works with your team every week as well as the one who signs the contract, since the two can see the quarter differently.
Question 2 of 4 · Big scale

How much value are you getting from us right now?

Why ask it
Value right now is the number a customer weighs at renewal. A 1 to 10 scale leaves room to see small shifts from one quarter to the next.
What you learn
The average and a column per step from 1 to 10, against the period before, so a falling average shows a quarter ahead of the renewal.
Make it yours
Bring the value score to your quarterly review call and ask what would move it up by two points.
Question 3 of 4 · Ruler · Optional

About how many hours a week do we save you?

Why ask it
Hours saved turn value into a figure customers and their managers both understand, and one your team can use in a renewal or a case for a larger plan.
What you learn
The median hours and the middle half, so a few very high estimates don't set the figure on their own.
Make it yours
Change the unit to what your service delivers, such as orders handled or reports produced, and adjust the ruler's range to match.
Question 4 of 4 · Text · Optional

What should we focus on next quarter?

Why ask it
Asking what to focus on next quarter turns the survey into input for your plan, in the customer's own words.
What you learn
Each answer with its sentiment and theme, filterable by theme, with up to 8 themes and their trends, so requests that come up across accounts stand out.
Make it yours
Answer each request at your next check-in, saying what you did and what you didn't.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Schedule each quarter yourself

Usertick has no recurring sends, so schedule each quarter's send up to 30 days ahead and keep the same list from round to round.

  2. 02

    Ask before the review call

Send it a week before your quarterly review, so the answers shape the agenda and the call starts from the customer's view.

  3. 03

    Watch the accounts at risk

On every plan, a workflow posts responses read as at risk or about to leave to Slack or Microsoft Teams for the account owner.

  4. 04

Keep the scores in your CRM

On every plan, a HubSpot workflow step writes each answer to the contact's properties, and from Starter a second step creates a follow-up task for the account owner.
