Listing inquiry follow-up template

Make sure no lead goes unanswered, the day after they ask about a listing

Four quick questions for people who asked about a property: whether they heard back, how fast, whether they want a showing and how to reach them. Use it as it is or change any question, and Usertick reads every written answer for you.

What this listing inquiry follow-up tells you

A listing inquiry follow-up survey checks that people who asked about a property got an answer, and turns the interested ones into showings. This template asks four questions in about 40 seconds: whether they heard back, how quickly your team replied, whether they want to schedule a showing and the best way to reach them.

It is written for an email the day after the inquiry, with the first question inside the email so a single Yes or No starts the survey. The same template also runs as a link in the reply your listing site sends, or as a popup on your listing page that opens after the inquiry form is sent, with the form submit trigger (from Starter, or on 1 survey on Free).

Each answer reaches the inbox with the person's contact details, so a lead who never heard back gets an owner and a status the same day. Results shows the share who heard back, how reply times split and the share who want a showing, each against the period before, and any message left in the contact step is read and filed under a category such as showings and listings.

The 4 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 4 · Yes / No

Did you hear back about the property?

Why ask it
A lead who never heard back may already be touring with another agent, and only the person who asked knows it happened. A plain yes or no finds those leads within a day.
What you learn
The share that said yes, against the period before. Select No to narrow the page to the leads your team missed and see who left contact details.
Make it yours
Add skip logic so a No goes straight to question 3, since the reply time only makes sense for people who heard back.
Question 2 of 4 · Multiple choice

How quickly did we reply?

Why ask it
Speed matters when someone is looking at several listings at once. Four plain ranges show whether your team answers within the hour or leaves leads until the next day.
What you learn
A donut with the share and count of each range, with stacked shares over time, so a slower month stands out.
Make it yours
Change the ranges to match the reply time your team promises, such as 15 minutes for phone inquiries.
Question 3 of 4 · Yes / No

Would you like to schedule a showing?

Why ask it
The follow-up is also a second chance to book a showing. A one-tap yes tells your agent who to call first.
What you learn
The share that said yes. Select Yes to see the reply times and contact details of everyone ready for a showing.
Make it yours
Add skip logic so a No ends the survey, and people who want nothing more finish in three taps.
Question 4 of 4 · Contact · Optional

What's the best way to reach you?

Why ask it
People who want a showing can leave a phone number or a better email in the same step, so your agent can call the same day.
What you learn
A table of the names and emails people left. The email from a Contact answer becomes the person's email in the inbox and can create a contact.
Make it yours
Turn on the Phone and Message fields, so people can say when they are free for a showing.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Send it the next morning

Import the previous day's inquiries as contacts each morning and send the survey to them. Leave Skip people who already received this survey on, so nobody who asks twice gets it twice.

  2. 02

    Give every No an owner

Assign each lead who never heard back to an agent in the inbox the same morning, with a status your team closes once the call is made.

  3. 03

Post missed leads to your team chat

On every plan, a workflow can post every No on the first question to Slack or Microsoft Teams, so a missed lead reaches the team within minutes.

  4. 04

    Tag each listing source

Add ?utm_source=listing-site or ?utm_source=yard-sign to each link, so every answer keeps where the lead came from in Google Sheets, webhooks and the API.

Frequently asked questions

The day after the inquiry, once your team has had time to reply. Usertick doesn't send it automatically when a lead form is submitted, so import new inquiries as contacts and send the survey from Usertick, or put its link in the reply your own system sends.

A log shows that a reply was sent, and the survey shows whether it arrived and answered the question. A reply lost in a spam folder looks the same in the log as one that was read.

Call them the same day. Select No in Results to see their contact details, and assign each one to an agent in the inbox.

The survey records that they want a showing and how to reach them, and your agent arranges the time. To send them to your booking page, add a Call to action question that opens it.

Yes. The questions fit any listing, and you can rename showing to tour if that is the word your renters use.
