Agents and portals survey questions

Agent feedback that shows why clients come back

Ask clients how their agent did, how clear the fees were and how well your portal works for them. Each question below comes with when to ask it and what the answer tells you.

What real estate agent feedback questions tell you

Real estate agent feedback questions ask clients how your agents and your online portal served them: how responsive and honest the agent was, how clear the fees were and whether the client always knew the next step. Agencies live on repeat clients and recommendations, and clients rarely tell an agent to their face what went wrong.

Ask within a week of a sale, purchase or tenancy completing, by email or with a link. Pick five or six questions: the recommend score, the agent grid, the fees and the open question. Ask the portal questions in a separate survey, or as a website survey inside the portal itself, so only clients who use it answer.

Each written answer gets a category, a theme and a sentiment, and each response an urgency. Results splits the recommend score into promoters, passives and detractors, so a manager can call each detractor while the deal is still fresh.

The 13 agents and portals questions, with when to ask each

Grouped by what they tell you. Use them as they are or change the wording.

How the agent did

Start with the recommend score, then rate the agent, so you know which skill to coach.

  1. 01NPS

How likely are you to recommend your agent?

The recommend score for the agent. Results shows the score with its promoters, passives and detractors; select the detractors to filter the page to everything else they said.

  2. 02Matrix

    Rate your agent on each

Rates responsiveness, knowledge, honesty and negotiation in one grid. The heat map shows which skill pulls an agent's score down, which gives coaching a concrete starting point.

  3. 03Multiple choice

What did the agent do best?

Names the one thing the agent did best. Keep Nothing stood out in the list, since a high share of it is as telling as any low score.

  4. 10Yes / No

Would you use the same agent again?

A plain yes or no on whether the client would use the same agent again. Select No in Results to see which skill in the grid scored lowest for those clients.

How the process felt

Ask about next steps, fees and stress, the parts clients remember after the keys change hands.

  1. 06Yes / No

Did you always know what the next step was?

A plain yes or no on whether the client always knew the next step. A No here usually explains a low responsiveness rating, even when the deal went through.

  2. 08Stars

    How clear were the fees?

A star rating for how clear the fees were. A low share of 4 or higher points at the fee letter or the first meeting, long before a dispute over the final bill.

  3. 09Big scale

How stressful was the process overall?

How stressful the whole process was, from 1 to 10. A high stress score next to a high recommend score means the agent carried the client through a hard deal.

The portal and the paperwork

Ask these of clients who use the landlord or tenant portal, and use the signature question when a seller approves a listing.

  1. 04Customer effort

How easy is the landlord or tenant portal to use?

A customer effort score for the landlord or tenant portal. Ask it only of clients who log in, and read the open portal question next to the low scores.

  2. 05Multiple choice

What do you use the portal for?

Shows what clients use the portal for, with bars for each share. Features few clients pick may need better placement, or a line in your welcome email.

  3. 12Text

What should the property portal do that it does not?

An open question about what the portal is missing. Each answer gets a type such as idea or complaint, so feature requests are easy to tell apart from things that broke.

  4. 13Signature

Sign to approve the listing details

Lets a seller or landlord sign to approve the listing details before they go live. Results shows the signatures in a gallery. Signature questions are on every plan, 1 per survey on Free.

What clients tell others

These show how clients found the agent and what they would say about you, which feeds your marketing.

  1. 11Dropdown

How did you find the agent?

How the client found the agent, from a portal to a local sign. Results shows the share of each, which helps you weigh what you spend on listing portals against referrals.

  2. 07Text

What would you tell another client about us?

Asks what the client would tell another client about you. Promoters often write lines you can ask permission to quote, and detractors tell you what to fix first.

Tips for asking about agents and portals

Small choices that get honest, useful answers.

  1. 01

    Ask when the deal completes

Send the survey within a week of the keys changing hands. Later, the client remembers the outcome more than how the agent got there.

  2. 02

    Survey each agent's clients

Send one survey per agent or office, so each has its own recommend score and comments to coach from.

  3. 03

    Call detractors first

Give each detractor an owner in the inbox and call within a few days. A client who hears back may still recommend you.

  4. 04

Ask about the portal inside it

Run the portal questions as a website survey in the portal, triggered after a client has viewed a few pages, so only people who use it answer.

Add these questions to a survey

From the library to the first answers.

  1. 1

    Open the library

In the Usertick survey editor, choose From library, filter by industry and topic, and add several questions at once.

  2. 2

    Or paste your own list

Paste questions reads up to 10 questions from any text on Free, 100 on Starter and 200 on Pro and above, keeps your wording and picks an answer type for each.

  3. 3

    Choose where it runs

Show the survey on your website, send it by email, share its link and QR code, or switch it to a conversation.

  4. 4

    Read the answers

Results counts every score and choice, and Usertick reads each written answer and files it by topic, on every plan.
