Tenant questions that show which businesses plan to renew
Ask business tenants how the space works for them, from heating and deliveries to the lease and its costs. Each question below comes with when to ask it and what the answer tells you.
What commercial tenant survey questions tell you
Commercial tenant survey questions ask the businesses in your buildings how the space works for them: whether it fits how they operate, how the building's services hold up, how clear the lease and its extra costs were and what would make them move out. An empty unit costs months of rent and a new fit-out, and the reasons a business leaves usually build up over years before the lease ends.
Ask once a year, and again a year or so before a lease comes up for renewal, by email to the person who manages the space. Pick five or six questions: the fit rating, the building grid, what would make them move and one open question. The lease end date lets you sort answers by how soon each lease comes up.
Each written answer gets a category, a theme and a sentiment, and each response an urgency, so a business that can't take deliveries gets an owner in the inbox the same day. Select a reason to move in Results to filter the page to the tenants who picked it.

The 14 commercial leases questions, with when to ask each
Grouped by what they tell you. Use them as they are or change the wording.
How the space works
Rate the fit and the building services, then how much of the space is used and by how many people, so you can tell a building problem from a size problem.
- 01Stars
How well does this space fit how your business works?
A star rating for how well the space fits the business. Put it first, and compare the share who rated 4 or higher across buildings and types of use.
- 02Matrix
Rate the building on each
Rates access and hours, internet, heating and cooling, and loading in one grid. The heat map shows which building service lets tenants down.
- 12Slider
How much of the space do you actually use?
How much of the space the tenant uses, on a slider from 0 to 100. A low median is an early sign that some tenants will want less space at renewal.
- 08Ruler
How many people work from this space?
How many people work from the space, on a ruler up to 200. Results shows the median and the middle half; read it with how much of the space is used.
The building and repairs
These show what the building gets in the way of and how fast shared repairs happen.
- 09Customer effort
How easy is it to get a repair done in a shared building?
A customer effort score for getting a repair done in a shared building. A low score points at the reporting route or the facilities contractor.
- 05Text
What does this building stop you doing?
An open question about what the building stops the business doing. Each answer gets a theme, so limits such as power, opening hours or loading access are easy to count.
- 10Text
What would you change about the building tomorrow?
Asks what the tenant would change about the building tomorrow. Each answer gets a type such as idea or complaint, which helps you sort quick fixes from bigger projects.
The lease and its costs
Ask how clear the lease and the extra costs were, and when the lease ends, so renewal talks start from facts.
- 03Yes / No
Was the lease easy to understand before you signed?
A plain yes or no on whether the lease was clear before signing. Select No in Results to see whether those tenants also found the extra costs unclear.
- 14Yes / No
Were the extra costs on top of rent clear from the start?
Asks whether costs on top of the rent were clear from the start. A No here often comes back as a dispute over the yearly charges, so follow up early.
- 04Multiple choice
How long is your lease?
How long the lease runs, from under a year to rolling. Results shows a donut with each share, and selecting one filters the page to tenants on that length of lease.
- 06Date
When does your lease end?
Lets the tenant pick the date the lease ends on a calendar. Results shows the picked dates, a quick view of which renewals come up first.
What tenants need next
Reasons to move, priorities for the next space and how the space is used tell you what a renewal offer has to answer.
- 07Multiple choice
What would make you move out?
Lets tenants pick everything that would make them move, from rent increases to the state of the building. Keep Nothing in the list, and read these answers before each renewal talk.
- 13Ranking
Rank what matters most in your next space
Tenants put rent, location, size, transit links and lease flexibility in order. Results shows the average place per item, which tells you what a renewal offer should lead with.
- 11Dropdown
What do you use the space for?
What the space is used for, from offices to a restaurant. Select a use in Results to compare how retail and office tenants rate the same building.
Tips for asking about commercial leases
Small choices that get honest, useful answers.
- 01
Ask the person who runs the space
Send the survey to the office or facilities manager at each business, the person who deals with the building every week.
- 02
Ask well before renewal
Send a survey a year or more before each lease ends, so you have time to fix what would make the tenant leave.
- 03
Separate building and size problems
Read the space-used slider with the fit rating. A tenant who uses half the space needs a different offer from one whose heating keeps failing.
- 04
Close the loop on shared repairs
Give each repair complaint an owner and a status in the inbox, and tell the tenant when the work is done.
