Property management software survey questions

Software questions that show what property managers still do by hand

Ask property managers how your software works day to day, from rent collection to the tools it has to connect to. Each question below comes with when to ask it and what the answer tells you.

What property management software survey questions tell you

Property management software survey questions ask the people who run rentals in your product how it fits their day: how easy it is to use, which parts work, what they still do in a spreadsheet, which tools it has to connect to and whether they have thought about switching. Property managers spend much of the day out at properties, and the work they move back to spreadsheets shows you where the product falls short.

Ask inside the product, as a popup or a side button shown after a user has worked in it for a while, and by email to account owners once a quarter. Pick one to three questions for the in-product survey and five or six for the email: the effort score, the grid, the spreadsheet question and one open question.

Each written answer gets a category, a theme, a type such as bug or idea and a sentiment, and each response an urgency. On every plan, workflows post answers to Slack or Microsoft Teams, and they can send them to Jira or Linear.

The 14 property management software questions, with when to ask each

Grouped by what they tell you. Use them as they are or change the wording.

How it works day to day

Score the effort, rate each part and ask about phone use and support, so you know which part of the product to fix first.

  1. 01Customer effort

How easy is the property software to use day to day?

A customer effort score for daily use. Results shows the average and the share who found it easy; compare it after each release that changes a main screen.

  2. 02Matrix

    Rate the software on each

Rates listings, tenant records, rent collection and maintenance jobs in one grid. The heat map shows which module pulls the experience down.

  3. 03Yes / No

Does it work well on a phone while you are out?

A plain yes or no on whether the product works on a phone at a property. Select No in Results to read those users' answers about what they still do in a spreadsheet.

  4. 10Stars

How good is the support when something breaks?

A star rating for support when something breaks. Read the answers below 4 with the same users' open answers, and give each one an owner in the inbox.

How much work happens in it

These describe what users rely on the product for and for how many properties and people, so you can read every other answer by type of customer.

  1. 04Multiple choice

What do you use it for most?

What the user relies on the product for most. Select an answer in Results to compare effort scores for users who mainly list homes with those who mainly collect rent.

  2. 07Ruler

How many hours a week do you spend in the system?

Hours a week spent in the product, on a ruler up to 40. Results shows the median and the middle half; read it with the effort score to see whether heavy users struggle most.

  3. 14Slider

How much of your work now happens inside this system?

How much of the user's work happens in the product, on a slider from 0 to 100. A rising median after a release means the product is taking over work from spreadsheets.

  4. 08Number

How many properties do you manage in it?

How many properties the user manages in the product. Results shows the median and the middle half, which lets you compare small landlords with large portfolios.

  5. 11Dropdown

How many people on your team use it?

How many people on the team use the product. Select a range in Results to compare how solo landlords and larger teams rate the same features.

What is missing and switching risk

Ask what still happens outside the product and what it should do, let users rank what to improve, then ask whether they have thought about leaving.

  1. 05Text

What do you still do in a spreadsheet instead?

An open question about what still happens in a spreadsheet. Each answer gets a theme, and the tasks that come up again and again are the gaps to close first.

  2. 06Multiple choice

Which other tools does it need to connect to?

Lets users pick every tool the software needs to connect to, from accounting to electronic signatures. Results shows bars with each share, a direct input for your integration plans.

  3. 09Text

What do you wish the software did that it does not?

Asks what the user wishes the software did. Each answer arrives with a type such as idea or complaint, so feature requests are easy to sort from frustrations.

  4. 12Ranking

Rank what the software should improve first

Users put speed, reporting, the mobile app, tenant messaging and accounting links in order. Results shows the average place per item, which gives your roadmap a clear order.

  5. 13Yes / No

Have you thought about switching to another system?

A plain yes or no on whether the user has thought about switching. Give every Yes an owner in the inbox, and read their spreadsheet and wish answers before the call.

Tips for asking about property management software

Small choices that get honest, useful answers.

  1. 01

    Ask inside the product

Show the survey as a side button or a popup after a user has spent a few minutes in the product, so answers come from people in the middle of a task.

  2. 02

    Target by user traits

From Starter, target the survey by user traits, so account owners get the switching question and daily users get the effort score.

  3. 03

    Send bugs to the engineers

Each written answer is typed as a bug, idea, complaint, question or praise. On every plan, a workflow can send responses to Jira or Linear, so bug reports reach the people who fix them.

  4. 04

Keep the core questions each quarter

Ask the effort score and the grid the same way every quarter, so each card's comparison with the period before shows whether a release helped.

Add these questions to a survey

From the library to the first answers.

  1. 1

    Open the library

In the Usertick survey editor, choose From library, filter by industry and topic, and add several questions at once.

Paste questions reads up to 10 questions from any text on Free, 100 on Starter and 200 on Pro and above, keeps your wording and picks an answer type for each.

  3. 3

    Choose where it runs

Show the survey on your website, send it by email, share its link and QR code, or switch it to a conversation.

  4. 4

Results counts every score and choice, and Usertick reads each written answer and files it by topic, on every plan.
