Usertick
Move-in survey template

Fix the first-week problems, before they shape the whole lease

Three questions for new tenants a few days after they get the keys: how easy moving in was, how the handover went and anything still outstanding. Use it as it is or change any question, and Usertick reads every written answer for you.

What this move-in survey tells you

A move-in survey asks new tenants how the first days went while the boxes are still open. This template takes about a minute: an effort score for the move-in, a rating grid for the keys, cleanliness, promised repairs and communication, and an open question for anything still outstanding.

It is written for an email three days after the keys are handed over, with the effort score inside the email. The same template also runs as a link in your welcome message, as a QR code in the welcome pack left in the unit, or as a popup in your tenant portal when it runs on your own domain.

Every answer about something outstanding is read as it arrives and filed under a category from your list, such as moving in and out or maintenance and repairs, with a type and an urgency, so a missing smoke alarm stands out from a missing shelf. Results shows the share who found moving in easy and a heat map of each step of the handover.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Customer effort

How easy was your move-in?

Why ask it
Effort is what new tenants remember about moving in: chasing the keys, waiting for a cleaner, hunting for the parking permit. A scale from very difficult to very easy measures that friction directly.
What you learn
The average on the 1 to 7 scale and the share who found it easy, with a hard-to-easy bar, against the period before, so a change to your handover shows its effect in the next month of move-ins.
Make it yours
Keep it first. In the email the scale sits inside the message, so one tap starts the survey.
Question 2 of 3 · Matrix · Optional

How would you rate the following?

Why ask it
Each row is a step of the handover your team owns. When moving in felt hard, the grid shows which step made it so.
What you learn
A heat map per row with row averages. A low average for Repairs promised before move-in tells you which promises your team is not keeping.
Make it yours
Add rows for the steps you run, such as parking, mailbox keys or utilities, and keep the grid to about five rows so it stays quick on a phone.
Question 3 of 3 · Text · Optional

Is anything still outstanding?

Why ask it
Most first-week problems are small and specific, such as a window that won't lock or a missing blind. An open question collects them in the tenant's own words while there is still time to fix them quietly.
What you learn
Each answer with its sentiment and theme, filterable by theme. Usertick reads each one as it arrives, files it under a category from your list and flags the urgent ones, such as no hot water.
Make it yours
Assign every answer that names a job to your maintenance team in the inbox, and set its status when the job is done.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Send it three days in

Day one is too busy, and by week two tenants stop noticing what is missing. Schedule the email for three days after the handover as soon as the move-in date is set.

  2. 02

    Treat answers as work orders

Give each outstanding item an owner and a status in the inbox, and write back to the tenant when it is done.

  3. 03

    Watch the promised repairs row

Follow the effort score and the Repairs promised before move-in row month by month. A drop after a staff change or a new cleaning company points to the cause.

  4. 04

Check again a few months later

Send a tenant satisfaction survey a few months on, to see whether the first-week problems stayed solved.

Three days after the keys are handed over gives tenants time to find what is missing while the move is still fresh. Usertick doesn't send it automatically from your property management software, so schedule each email when the move-in date is set, up to 30 days ahead.

Keep it short, since tenants are still unpacking. This template asks three questions and takes about a minute.
