Offer process survey template

See the offer process through the buyer's eyes, whether the offer was accepted or withdrawn

Four questions for buyers once an offer is accepted or withdrawn: how clear the process was, how well they were kept up to date, how stressful it felt and what would have made it easier. Use it as it is or change any question, and Usertick reads every written answer for you.

What this offer process survey tells you

A buyer offer feedback survey asks how the offer and the negotiation felt, the stretch of a purchase where buyers are most anxious and least informed. This template takes about a minute: a rating for clarity, a rating for updates, a stress score and an open question about what would have made it easier.

It is written for an email sent once an offer is accepted or withdrawn, with the clarity rating inside the email. The same template also runs as a link you paste into your own message to the buyer, as a popup on your agency's website or as a conversation, one question at a time.

Every written answer is read as it arrives and filed under a category from your list, such as communication or rent and fees, with a type and an urgency. Results shows the two ratings and the stress score against the period before, so a change to how your team runs offers shows up in the next group of buyers.

The 4 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 4 · Stars

How clear was the offer process?

Why ask it
Buyers making their first offer often don't know what comes next: earnest money, contingencies, counteroffers. A clarity rating shows whether your team explains the steps before the buyer has to ask.
What you learn
The average, a bar per rating and the share who rated 4 or higher, compared with the period before.
Make it yours
Keep it first, so the buyer can answer inside the email with one tap.
Question 2 of 4 · Stars

How well were you kept up to date?

Why ask it
Silence during a negotiation feels longer than it is. Rating updates apart from clarity tells you whether the problem is the explanation at the start or the contact along the way.
What you learn
The same average, bar per rating and share at 4 or higher. Select 1 or 2 stars to read what those buyers wrote in the last question.
Make it yours
Rename it after the update you promise, for example asking how well the agent kept them posted after each counteroffer.
Question 3 of 4 · Big scale

How stressful was the process?

Why ask it
Stress is what buyers remember about a purchase long after the details fade. A ten-step scale gives room between a mild worry and a sleepless week.
What you learn
The average and a column per step. On this scale a higher number means more stress, so a rising average is the warning sign.
Make it yours
Leave the direction as it is and tell your team that lower is better here, the opposite of the two ratings before it.
Question 4 of 4 · Text · Optional

What would have made it easier?

Why ask it
Buyers remember the exact moment that went wrong, such as a counteroffer that arrived late at night or a deadline nobody explained. An open question collects those moments in their own words.
What you learn
Each answer with its sentiment and theme, filterable by theme, with up to 8 themes and their trends. Usertick marks each one as a complaint, an idea or praise and flags the urgent ones.
Make it yours
Keep it optional, so a buyer who just lost a house can still send the three scores.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

Ask after accepted and withdrawn offers

Buyers whose offer fell through often have the most to say about the process. Send the survey to both groups, and add a question about the outcome when you want to compare them.

  2. 02

    Wait a day or two

Right after a rejected offer, emotions run high. A day or two later the buyer can judge the process apart from the result.

  3. 03

    Read stress next to updates

Select the buyers who scored stress at 8 or higher and look at how they rated updates. When the two move together, more frequent check-ins are the first fix to try.

  4. 04

Bring the themes to your team

Share the top themes from the written answers at your monthly team meeting, with two or three quotes. From Pro, a scheduled PDF report can send the Results page to the team on a set day.
