Team invite survey template

Find out why invited colleagues don't join, from the person who invited them

Four questions for account owners a week after their first invite: how easy inviting was, how many have joined, how clear the roles are and what stops the rest. Usertick reads every written answer and groups the blockers into themes.

What this team invite survey tells you

A team invite survey asks the account owner how bringing colleagues in went, once there has been time for them to join. This template takes under a minute: an effort score for sending invites, a slider for how many of the invited have joined, a rating for how clear roles and permissions are, and one open question about what stops the rest.

It is written for an email to account owners a week after their first invite. Usertick doesn't send it on that date by itself, so import the owners who sent a first invite the week before and send it, or schedule it up to 30 days ahead. A popup on your team settings page reaches owners inside your web app.

Results shows the effort score and the share who found inviting easy, the median share of invited people who joined, and the roles rating with the share who rated it 4 or higher. Usertick reads each written answer and files it under a category such as getting started or account and access, with a type and an urgency.

The 4 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 4 · Customer effort

How easy was it to invite your team?

Why ask it
Inviting is where one user becomes a team, and every extra step loses colleagues. The effort score shows whether the invite flow itself is in the way.
What you learn
The average on the 1 to 7 scale and the share who found it easy, with a hard-to-easy bar, compared with the period before.
Make it yours
Keep it first, so the owner can tap a score inside the email and open the rest of the survey.
Question 2 of 4 · Slider · Optional

About how many of the people you invited have joined?

Why ask it
An easy invite that nobody accepts is still a failed invite. The slider asks for a rough share, since owners rarely know the exact count.
What you learn
The median and the middle half of answers drawn over the 0 to 100 scale. Add an answer filter for owners near None yet to read what stops their colleagues.
Make it yours
Compare it with the acceptance numbers in your own product, since a gap between the two shows owners who think the team is in when it isn't.
Question 3 of 4 · Stars

How clear are the roles and permissions?

Why ask it
Owners hold back invites when they aren't sure what a new member will be able to see or change. A clear permissions screen removes that worry.
What you learn
The average rating, a bar per star and the share who rated it 4 or higher. Select the low ratings to see whether those owners also have fewer colleagues joined.
Make it yours
Name the roles from your own product in the label, such as admin, editor and viewer, so owners rate the screen they used.
Question 4 of 4 · Text · Optional

What's stopping the others from joining?

Why ask it
The reasons colleagues don't join are often outside the product: an invite in spam, a sign-in rule at their company or no reason to log in yet.
What you learn
Usertick reads each answer, gives it a theme, a type and a sentiment, and marks the urgent ones. Results lists the answers filterable by theme, with up to 8 themes and their trends.
Make it yours
Keep it optional, and read the answers about invites that never arrived first, since those are often a delivery problem you can fix.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Wait a week

Colleagues need a few days to see and accept an invite. Ask too early and the slider sits at None yet for everyone.

  2. 02

    Build the list each week

Export the owners who sent a first invite the week before, import them as a CSV and send the survey. Skip people who already received this survey keeps anyone from getting it twice.

  3. 03

    Follow up on low numbers

Give each response where few colleagues joined an owner in the inbox, so someone from your team offers help while the account is new.

  4. 04

    Reach owners in the product

Run a copy as a popup on your team settings page for owners who don't open email. From Starter, target user traits such as role, passed with Usertick.identify().

Frequently asked questions

About a week after the first invite, when colleagues have had time to join. Send it by email from Usertick or share the link in your onboarding email.

Not by itself. Usertick sends to a contact list now or on a schedule up to 30 days ahead, so build a weekly list of new owners. On every plan, a HubSpot workflow on HubSpot Professional or Enterprise can send it to each contact it enrolls.

The person who sent the invites, usually the account owner or an admin. Invited colleagues who haven't joined yet can't say much about the product.

Read what those owners wrote about the others, then fix the most common cause, such as invite emails that land in spam or no reminder for an unopened invite.

Four, as here, keeps it under a minute. Three of them are taps, and only the open question takes typing.
