Survey answers as Outlook emails and drafts

Send an email or save a draft in Outlook for each survey answer, so a reply to the customer is one click away, through a Zap that runs as soon as they answer.

From an answer in Usertick to Microsoft Outlook

Some answers deserve a personal reply. A Zap saves a draft in Outlook to the customer with their answer quoted, ready for you to read and send, or sends an email to a teammate who should know.

The Zap starts in Usertick. It can run on every new answer, once the AI has read one, when one turns urgent or when its status changes, and a workflow can hand over only the answers its conditions pick.

Pick a survey in the trigger, and each question arrives as its own field, so the score and the comment land in the Microsoft Outlook fields you choose. The answer's email, page, country, device and AI reading come with it.

What the Zap can do in Microsoft Outlook

  • Set Categories on an Email
  • Flag / Unflag Email
  • Set Email Importance
  • Move Email to Folder
  • Create Folder

Three Zaps to build with Microsoft Outlook

Each one starts on a Usertick trigger and uses an action from Zapier's page for Microsoft Outlook.

  • Flag the customer's Outlook email on urgent feedback

Urgent Feedback runs Find Emails with the Respondent email, and Flag / Unflag Email flags the customer's latest message, so it stays in view among your flagged email until someone responds.

Microsoft Outlook action: Flag / Unflag Email

  • Book Outlook calendar time to call back a detractor

Workflow Step runs for detractors alone when the Usertick workflow tests the NPS group, and Create Event blocks time on the calendar you select, with Survey name in the subject and Q1, the Respondent email and the Response link in the body.

    Microsoft Outlook action: Create Event

  • Apply an Outlook category when the AI finds a complaint

A complaint from Response Analyzed runs Find Emails with the Respondent email, and Set Categories on an Email applies a category such as Complaint, so a color-coded view of the mailbox shows which customers complained.

Microsoft Outlook action: Set Categories on an Email

Zapier's free plan runs a Zap with one action. A Zap with a search step or a filter has more steps and takes a paid Zapier plan.

What Usertick sends to Zapier

Every trigger carries these fields, ready to map into Microsoft Outlook.

Survey nameThe survey the answer belongs to
AnswersEach question and its answer, and one field per question when you pick a survey, such as Q1 with the score
Response linkA link that opens the answer in the Usertick inbox
Respondent emailThe email Usertick has for the person who answered, when it has one
Page URL, Country, LanguageWhere the answer came from
Device type, Browser, Operating systemThe device the survey ran on
SourceWhether the answer came from the website, a link, an email or the API
VariantThe A/B variant the person saw
Status, Assignees, CommentsWhere the answer stands in the inbox
AI type, AI urgency, AI theme, AI category, AI sentimentThe AI reading, on every trigger after the AI has read the answer

Attachments such as screenshots stay in Usertick, because a Zap can't open their links. The Response link opens the answer with its files in the inbox.

Connect Microsoft Outlook in three steps

Settings opens Zapier with the trigger and the action already in place.

  1. 1

    Pick the action in Usertick

Open Settings, then Integrations, select Microsoft Outlook and choose what the Zap does there.

  2. 2

    Sign in on Zapier

Sign in to Usertick from the Zap and choose the organization when you allow access.

  3. 3

Map the fields and turn it on

Pick the survey to watch, map the answer's fields to Microsoft Outlook and turn the Zap on.

To send only some answers, add a Zapier step for Microsoft Outlook to a workflow instead. The workflow's conditions decide which answers reach the Zap, and the workflow can be published once its Zap is on.

Frequently asked questions

Send Email has a sender field for another address. It works when the connected Microsoft account has send-as or send-on-behalf permission for that shared mailbox, so a support address can send the follow-up.

Create Folder adds a folder for them, and Move Email to Folder places a message there once Find Emails has returned it. A category set by Set Categories on an Email keeps the message in the inbox while still marking it.

Zapier comes with every plan in Usertick, and Free runs 1 Zap. On Zapier, a two-step Zap like this one runs on the free plan.

No. The Zap signs in with your Usertick account, and you choose the organization when you allow access. API keys are for Usertick's REST API.

Yes. Response Analyzed filters by type and urgency, Urgent Feedback runs once for each answer that turns urgent, and a workflow's Zapier step hands over only the answers its conditions pick.

Pick the survey in the trigger. Each question then arrives as its own field, such as Q1 with the score, ready to map into Microsoft Outlook.

A Zap that starts in Microsoft Outlook can use Usertick's actions. Update Response sets an answer's status, type or urgency, Add Comment adds a note your team sees in the inbox, and Find Response looks up an answer by email or ID first.

No. Attachments stay in Usertick, because a Zap can't open their links. The Response link field opens the answer, with its files, in the inbox.
