User interview recruitment template

Fill your research calls, with the users you need to hear

Three questions and a consent box for active users: how often they use the product, their role, their agreement to be contacted and where to send the invite. Use it as it is or change any question, and each volunteer's email arrives in the inbox, ready for your invite.

What this user interview recruitment survey tells you

A user interview recruitment survey finds customers willing to talk to your team and records their agreement to be contacted. This template takes under a minute: how often they use the product, the role that best describes them, a consent box for the research call, and their contact details for the invite.

It is written for a popup inside your web app, aimed at active users, for example with a pages viewed trigger that waits until someone has opened a few pages in a session, or from Starter by traits such as plan or role passed with Usertick.identify(). The same survey works as an email from Usertick to a contact list, or as a link in your product newsletter or community.

Each email from the contact question becomes the person's email in the inbox and can create a contact, so you can add volunteers to a list and invite them. Results shows the share of each usage level and role, how many people ticked the consent box, and a table of names and emails, and selecting a role narrows the table to those volunteers.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Multiple choice

How often do you use the product?

Why ask it
Interviews with daily users and occasional users answer different questions. Usage frequency lets you pick the right mix before you book a single call.
What you learn
A donut with the share and count of each usage level. Select Every day to see the roles and contact details of your most active volunteers.
Make it yours
If you only want regular users, add a rule that ends the survey for Less often, so you don't collect contacts you won't call.
Question 2 of 3 · Multiple choice

What best describes your role?

Why ask it
Research calls are planned by role: a founder explains why they bought, an engineer explains how it fits their stack. The answer lets you book the voices your study needs.
What you learn
A donut with the share of each role, with typed Other answers listed. Select a role to see only those volunteers in the contact table.
Make it yours
Change the roles to the ones your study needs, and keep Other for people who don't fit.
Question 3 of 3 · Contact · Optional

Where should we send the invite?

Why ask it
The contact question collects the name and email for the invite. It comes right after a consent box, so every address arrives with permission to use it for research.
What you learn
A table of names and emails. Each email becomes the person's contact in Usertick, ready to add to a list for the invite.
Make it yours
Turn on only the fields you need, such as name and email, and keep it optional, so people can answer the first questions without leaving an address.

What the answers show

Results turns each question into numbers you can follow week by week.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Ask active users only

Use a pages viewed trigger so the survey opens after a few pages in a session, and from Starter target traits such as plan or role.

  2. 02

    Say what the call involves

Write the length of the call and any thank-you gift in the consent text, so volunteers know exactly what they agree to.

  3. 03

    Invite while interest is fresh

On every plan, a workflow posts each new volunteer to Slack or adds them to Google Sheets, so your researcher can book calls the same week.

  4. 04

    Don't ask volunteers twice

Leave the frequency on until answered, so people who already replied don't see it again. From Starter, or on 1 survey on Free, also leave out people who answered a survey recently.
