Switching from another tool survey questions

Migration questions that show what customers lose on the way to you

Ask customers who switched from another tool how the move went, what came across and what they had to leave behind. Each question below comes with when to ask it and what the answer tells you.

What data migration survey questions tell you

Data migration survey questions ask customers switching to your product what they are leaving, how easy it was to bring their data across, how long the move took and what stayed behind in the old tool. A hard move can stall a new customer for weeks, and the answers show which step of the move to fix.

Ask the first questions when the customer starts the import, and the rest a week or two after the move, inside the product or by email to the person who ran it. Pick five or six per survey, and keep the sample export upload for customers whose import ran into trouble.

Each response gets an owner and a status in the inbox, so a customer with missing records can get help before the old tool is switched off. Written answers get a theme and a sentiment, and uploaded export files arrive in a gallery with the answer.

The 15 switching from another tool questions, with when to ask each

Grouped by what they tell you. Use them as they are or change the wording.

Where customers are coming from

Start with the old tool and who did the work, so every other answer can be read per source and per team.

  1. 01Multiple choice

What are you moving away from?

One choice for what the customer is leaving, from a spreadsheet to an in-house build. The donut shows where your new customers come from and which import paths deserve the most work.

  2. 09Multiple choice

    Who did the migration work?

One choice for who did the migration work, from the customer alone to a partner. A large Nobody yet share shows customers who signed up and haven't moved yet.

  3. 15File upload

Upload a sample export from the tool you are leaving

The customer uploads a sample export from the old tool. Your team can test the import against a real file before the full move. File upload is on every plan, 1 per survey on Free.

How the move went

Effort, time, the size of the import and the grid show which step of the move costs customers the most.

  1. 02Customer effort

How easy was it to bring your old data across?

A customer effort score for bringing old data across. Select the low scores in Results to read what those customers found hardest about the move.

  2. 03Ruler

How many weeks did the move take from start to finish?

The length of the move in weeks, on a ruler up to twenty-six. The median gives sales and onboarding a realistic timeline to share with new customers.

  3. 05Yes / No

Did you run both tools side by side for a while?

Asks whether both tools ran side by side for a while. A high share of Yes suggests customers don't trust the move yet; read it with how much of the setup came across.

  4. 06Number

How many records did you import?

Records imported, typed as a number. The median and the middle half show the typical import size, useful when you test the import for speed and limits.

  5. 13Matrix

Rate each step of the move

Rates export, import, checking the data and training the team on one grid. The heat map shows which step of the move pulls the experience down.

What came across and what didn't

Ask these before the old tool is switched off, while missing data can still be recovered.

  1. 08Stars

How well did the import handle your data?

Five stars for how well the import handled the customer's data. A low average with many custom fields left behind points to field mapping as the fix.

  2. 10Big scale

How much of your old setup made it across?

How much of the old setup made it across, on a ten-step scale. Low scores are worth a call from onboarding before the customer switches the old tool off.

  3. 04Multiple choice

What did you have to leave behind in the old tool?

Lets customers pick everything they had to leave behind, from old reports to user accounts. The bars show which gaps in your import to close first.

Priorities and timing

These show what customers value in a move and when the old tool goes, which sets the pace of your follow-up.

  1. 11This or that

During a move, which matters more?

Two pairs: every record or live fast, a clean start or an exact copy. The split bars show which import option to make the default.

  2. 12Date

When do you plan to switch off the old tool?

The date the customer plans to switch off the old tool, picked on a calendar. Results shows the picked dates, so onboarding knows which accounts to check on first.

What would make the move easier

End with the two open questions, which give onboarding a list of fixes in the customer's words.

  1. 07Text

What was the hardest part of the move?

An open question for the hardest part of the move. Each answer gets a theme, so problems with exports, field mapping and training can be filtered apart.

  2. 14Text

What help would have made the move easier?

An open question for the help that would have made the move easier. The answers can name a guide, a mapping template or a call, a direct list for your onboarding team.

Tips for asking about switching from another tool

Small choices that get honest, useful answers.

  1. 01

Ask before the old tool goes

  4. 04

    Learn from each source tool

Select each source in the first question in Results to read the answers per tool, so each import path gets its own fixes.
