Campus facilities survey template

Know what students would fix first, before the budget is set

Three questions for once a year: a rating for classrooms, Wi-Fi, common areas, safety and accessibility, the one area to improve first and why. Use it as it is or change any question, and Usertick reads every written answer for you.

What this campus facilities survey tells you

A campus facilities survey asks students how the buildings and services around their studies are working. This template takes about a minute: a rating for five areas from classrooms to accessibility, the one area to improve first, with parking and transportation added to the choice, and an open question on why they chose it.

It is written for an email to college students once a year, timed before the facilities budget is planned. Send it to every year group, so the answers cover the buildings first-year and final-year students use. The same template runs as a link in the student newsletter or portal, as a QR code on posters in common areas, or as a conversation that asks one question at a time.

Every written answer is read as it arrives and filed under a category from your education list, such as student support or platform and access, with a type and an urgency, so a safety concern stands out from the rest. Results shows a heat map of the five areas with their averages and the share choosing each area to fix first, each against the period before.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Matrix · Optional

How would you rate the following?

Why ask it
Rating five areas side by side shows where the campus falls short. It sets up the next question: students rate everything first, then pick one.
What you learn
A heat map with one row per area and its average, so the lowest-rated area stands out and each year sits next to the last.
Make it yours
Add rows for what your campus has, such as labs, housing or the gym, and add the same areas to the next question so the two match.
Question 2 of 3 · Multiple choice

What should we improve first?

Why ask it
Ratings can be low everywhere. Asking for one area to improve first forces a priority you can plan a budget around.
What you learn
A donut with the share and count for each area. Select an area to filter the page to the students who chose it and read why.
Make it yours
Parking and transportation is a choice here but has no row in the grid above, so add it as a row too when you want a rating for it.
Question 3 of 3 · Text · Optional

Why that one?

Why ask it
The reason behind the choice turns Wi-Fi into a specific fix, such as no signal in one building or slow evenings in student housing.
What you learn
Usertick gives each answer a sentiment and a theme, files it under a category from your list and flags the urgent ones, in any language the student writes in.
Make it yours
Read the answers for the most chosen area first, then share the themes with the facilities team.

What the answers show

Results turns each question into numbers you can follow week by week.

Every written answer, read for you

Each answer arrives with its category, theme, type and urgency, so the urgent ones reach your team first.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Time it before budget planning

Send it a month or two before facilities budgets are set, so the answers can shape them.

  2. 02

    Treat safety answers as urgent

On every plan, a workflow posts each response marked urgent to Slack or Microsoft Teams, so campus safety staff see it the same day.

  3. 03

    Ask for the building

Ask students to name the building in their reason, or add a Dropdown question for it, so each fix goes to the right place.

  4. 04

    Report back to students

Tell students in the next newsletter which area was chosen most and what will change because of it.

Frequently asked questions

Once a year, in the middle of a semester, when students have used the campus for a while and before budgets are set. The email shows a start button for the first question, since a grid can't be answered inside the message.

Yes, by link or QR code with anonymous responses turned on: no user ID, traits or visitor ID are stored with the answers. A survey sent through Usertick email ties each answer to the student's contact.

Results doesn't split answers by a link tag. Give each campus its own copy of the survey, or add a question that names the campus or building.

College students who are 16 or older, and staff in a separate copy when you want their view too. Usertick's terms don't allow surveys aimed at people under 16.

Start with the area most students chose to improve and read their reasons. Then check whether the same area has the lowest average in the rating grid.
