Hear what families think of the school, once every term

Six questions for parents and guardians: how well the school keeps them informed, how often teachers get in touch, how their child is doing, whether they would recommend the school and what to do better. Use it as it is or change any question, and Usertick reads every written answer for you.

What this parent survey tells you

A parent survey asks families how the school is working for them and for their child. This template takes about two minutes: a rating for how well the school keeps parents informed, how often they hear from teachers, four statements on safety, challenge, listening and homework, a recommend question, and two open questions on what works and what to do better this year.

It is written for an email to parents and guardians once a term, sent to your contact list. The same template runs as a link in the school newsletter or the parent portal, or as a QR code on a flyer at back-to-school night, and it can open as a conversation that asks one question at a time. The survey goes to the adults in each family.

Every written answer is read as it arrives and filed under a category from your education list, such as teaching and tutors or student support, with a type and an urgency, so a safety concern doesn't wait for the end-of-term review. Results shows the communication rating, a heat map of the four statements and the recommend score, each against the period before.

The 6 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 6 · Stars

How well does the school keep you informed?

Why ask it
Communication is the part of school life parents see most directly, and one rating shows whether newsletters, messages and reports are reaching them.
What you learn
The average out of 5, a bar per rating and the share who rated it 4 or higher, compared with the period before.
Make it yours
Keep it first, so parents can tap a star inside the email and the rest of the survey opens with that answer kept.
Question 2 of 6 · Multiple choice

How often do you hear from your child's teachers?

Why ask it
The rating says whether parents feel informed, and this question says how often teachers actually get in touch, which is the part you can change.
What you learn
A donut with the share and count for every week, every month, once a term and rarely. Select Rarely to see how those parents rated communication.
Make it yours
Match the options to how your school communicates, for example adding After each report card when that is the main contact.
Question 3 of 6 · Matrix · Optional

How much do you agree with these statements?

Why ask it
Four statements cover what parents care about beyond grades: safety, the right level of challenge, being listened to and a fair amount of homework. A matrix keeps them on one screen.
What you learn
A heat map with one row per statement and its average, so the statement with the most disagreement stands out against the others and against the period before.
Make it yours
Add a row for what your school is working on this year, such as a new reading program, and keep the other rows the same so terms compare.
Question 4 of 6 · NPS

How likely are you to recommend the school to another family?

Why ask it
Whether parents would recommend the school to another family sums up the whole experience, and for many schools word of mouth is how new families arrive.
What you learn
The score (promoters 9 to 10 minus detractors 0 to 6), a bar of detractors, passives and promoters, and the score over time as a line from term to term.
Make it yours
Select the detractors in Results and read their answers to the last question before anything else.
Question 5 of 6 · Text · Optional

What is the school doing well?

Why ask it
Parents name the teacher, the club or the change that works for their family, which tells you what to keep and what to mention when you talk to new families.
What you learn
Usertick gives each answer a sentiment and a theme, and groups the answers into up to 8 themes with their trends, so you can filter to every answer about one subject or program.
Make it yours
Pass the answers that name a teacher or a program on to that team.
Question 6 of 6 · Text · Optional

What is one thing the school could do better this year?

Why ask it
Asking for one thing keeps answers short and specific, and the words this year point parents to changes you can still make.
What you learn
Each answer is filed under a category from your list and marked as an idea, a complaint or a question with an urgency, in any language a parent writes in.
Make it yours
Tell families in the next newsletter which two or three changes came from the answers.

What the answers show

Results turns each question into numbers you can follow week by week.

How well does the school keep you informed?

The average rating and the share who gave 4 or 5 stars, against the period before.

How often do you hear from your child's teachers?

The share of each answer with its count. Select an answer to narrow the whole page to those people and read what else they said.

How much do you agree with these statements?

Each row's answers side by side, so the part that needs work stands out.

Every written answer, read for you

Each answer arrives with its category, theme, type and urgency, so the urgent ones reach your team first.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

Send it at the same point each term

Pick one week each term, a few weeks in, and keep to it, so the answers compare cleanly from term to term.

  2. 02

Turn off the skip for repeat sends

Skip people who already received this survey is on by default. Turn it off for the next term's send, or make a copy of the survey for each term.

  3. 03

    Include every guardian

Each guardian can see the school differently, so add both addresses to the contact list when a family gives two.

  4. 04

Route safety answers the same day

On every plan, a workflow posts each response marked urgent to Slack or Microsoft Teams, so a safety concern reaches the right person before the end of the day.

Frequently asked questions

Once a term, a few weeks in, so parents have seen enough of the term to judge it. Avoid report card week, when one result can color every answer.

Yes, by link or QR code with anonymous responses turned on: no user ID, traits or visitor ID are stored with the answers. A survey sent through Usertick email ties each answer to the parent's contact, so share the link in your newsletter when you want anonymous answers.

Only students who are 16 or older, in a separate survey written for them. Usertick's terms don't allow surveys aimed at people under 16, so this template asks parents and guardians.

Start with the statement in the matrix with the lowest average and read the improvement answers from parents who disagreed with it. Selecting an answer in Results filters the whole page to the parents who gave it.
