Evening reception survey template

See whether your reception helped people connect, and what to change about the room

Three quick questions for the morning after: overall satisfaction with the reception, a rating for the venue, drinks, music volume and space to talk, and whether guests met someone new. Use it as it is or add an open question, and Usertick reads every written answer for you.

What this evening reception survey tells you

An evening reception survey asks guests about the drinks or dinner at the end of the event day, the part built for conversation. This template takes under a minute: an overall score, a rating for four parts of the evening and a yes or no on meeting someone new. It tells you whether the evening did its job of getting people talking.

It is written for an email the next morning, sent by Usertick to the guests on your reception list, with the overall score inside the message. The same template also runs as a link in the morning's event app announcement, or as a QR code printed on the agenda for day two.

Results shows the average score with the share who rated 4 or higher, a heat map of the venue, drinks, music and space with their averages, and the share who met someone new. Select No on the last question to see what those guests rated lowest. Add an open question and Usertick reads each written answer and files it under a category such as networking or food and breaks.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Stars

How satisfied were you with the evening reception?

Why ask it
A reception has no agenda to judge it by, so one overall score gives you a number to compare from year to year and from one venue to the next.
What you learn
The average out of 5, a bar for each rating and the share who rated 4 or higher, compared with the period before. Select the 1s and 2s to see which parts of the evening those guests rated lowest.
Make it yours
Keep it first, so guests can answer inside the email with one tap.
Question 2 of 3 · Matrix · Optional

How would you rate the following?

Why ask it
A good evening needs a venue people want to stay in, drinks that keep coming, music they can talk over and space to stand together. Rating them apart shows which one held the night back.
What you learn
A heat map with a row for each part and its average, so loud music or a cramped room stands out. On phones the grid shows one row at a time.
Make it yours
Add a row for food when you serve dinner, and keep Music volume and Space to talk, the two rows that tell you whether people could hold a conversation.
Question 3 of 3 · Yes / No

Did you meet someone new there?

Why ask it
Meeting someone new is the reason to host a reception. A yes or no turns that goal into a share you can track. It also gives the sponsor of the evening a number worth seeing.
What you learn
The share that said yes, compared with the period before. Select No to see which parts of the evening those guests rated lowest.
Make it yours
Try one change per event, such as quieter music or hosts who make introductions, and watch this share.

What the answers show

Results turns each question into numbers you can follow week by week.

How satisfied were you with the evening reception?

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Send it the next morning

Schedule the send for the morning after, before day two starts. Guests remember the evening, and you can fix the next one if the event runs several nights.

  2. 02

Ask only the guests who came

Send it to your reception list in place of every ticket holder, so the answers come from people who were there.

  3. 03

    Add one open question

The template has no text question. Add What would make the next reception better? and Usertick reads each answer and files it by category and theme.

  4. 04

    Agree the volume in advance

When Music volume scores low, agree a level with the DJ or the band before the next reception, then compare the scores.
