Event catering survey template

Fix the lunch line, before the second day starts

Four quick questions for the end of each event day: a rating for the food, the wait for lunch, whether dietary needs were met and whether coffee was there when attendees needed it. Use it as it is or add an open question, and Usertick reads every written answer for you.

What this event catering survey tells you

An event catering survey asks attendees about the food and drinks while the day is still on their mind. This template takes about thirty seconds: a rating for the food, the wait in the lunch line, a yes or no on dietary needs and a yes or no on coffee.

It is written for an email at the end of each event day, sent by Usertick to your attendee list with the food rating inside the message, so you can brief the caterer before the next morning. The same template also runs as a QR code on table cards and at the coffee stations, or as a link in the event app.

Results shows the food average with the share who rated 4 or higher, the share for each wait, and the share who said yes on dietary needs and on coffee. Select No on dietary needs to see how those attendees rated the food. Add an open question and Usertick reads each written answer and files it under a category such as food and breaks.

The 4 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 4 · Stars

How would you rate the food?

Why ask it
Food is one of the few things every attendee experiences, and a poor lunch colors the whole afternoon. One rating gives the caterer a number to beat on day two.
What you learn
The average out of 5, a bar for each rating and the share who rated 4 or higher, compared with the period before, so day two can be set against day one.
Make it yours
Keep it first, so attendees can rate the food inside the email with one tap.
Question 2 of 4 · Multiple choice

How long did you wait in line for lunch?

Why ask it
Long lines eat into the break and the session after it. Wait bands give the caterer and the venue a concrete number to plan serving points around.
What you learn
A donut with the share and count for each wait band, compared with the period before. Select More than 20 minutes to see how those attendees rated the food.
Make it yours
When the wait is long, add serving points or stagger lunch by track, then compare the next day's answers.
Question 3 of 4 · Yes / No

Were your dietary needs met?

Why ask it
An attendee whose meal was missing goes hungry, whatever the food rating says. A yes or no shows how many fell through the gaps.
What you learn
The share that said yes, compared with the period before. Select No to filter the page to the attendees who weren't served what they needed.
Make it yours
Collect needs before the event with a pre-event survey, then use this question to check the caterer delivered on them.
Question 4 of 4 · Yes / No

Was coffee available when you needed it?

Why ask it
Coffee running out mid-morning is a small problem that attendees remember. A yes or no tells you whether to add a station or another refill.
What you learn
The share that said yes, compared with the period before, so a second station on day two shows in the numbers.
Make it yours
Change it to whatever ran short at your last event, such as water or snacks between sessions.

What the answers show

Results turns each question into numbers you can follow week by week.

How would you rate the food?

The average rating and the share who gave 4 or 5 stars, against the period before.

How long did you wait in line for lunch?

The share of each answer with its count. Select an answer to narrow the whole page to those people and read what else they said.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Create one send per day

Usertick has no recurring sends, so set up one send for each event day, each scheduled up to 30 days ahead. Turn off Skip people who already received this survey, which is on by default, so day two reaches everyone again.

  2. 02

    Brief the caterer each evening

Read the day's answers before the evening call with the caterer. On every plan, a workflow adds each response to a Google Sheet the caterer can open.

  3. 03

    Add one open question

The template has no text question. Add What should change at lunch tomorrow? and Usertick files each answer under a category such as food and breaks, with a type and an urgency.

  4. 04

    Ask exhibitors and guests too

People who aren't on your attendee list, such as exhibitors and day guests, can scan a QR code on the table cards. Run that copy as a link survey so the email results stay apart.
