Usertick
Pre-event survey template

Plan rooms and catering, from what attendees tell you first

Three questions to send with the ticket confirmation: what attendees want from the event, how they rank your tracks and any dietary or accessibility needs to plan for. Use it as it is or change any question, and Usertick reads every written answer for you.

What this pre-event survey tells you

A pre-event survey asks attendees what they hope to get from the event before you finish the plan. This template takes about a minute: the goals that brought them, a ranking of your tracks and one open question about dietary and accessibility needs, all three optional. The answers arrive while room bookings, catering orders and the agenda can still change.

It is written for the days after someone buys a ticket, as a link in the confirmation email your ticketing tool sends or as an email Usertick sends to your registration list. The same template also runs as a popup on the ticket confirmation page of your event website, or as a QR code on a printed invitation.

Every written answer is read as it arrives, filed under a category such as food and breaks or venue and rooms, and flagged when it needs action. Results shows the share of each goal and the average place of each track, so the most wanted track gets the biggest room.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Multiple choice · Optional

What do you want to get out of the event?

Why ask it
Attendees come to learn, meet people, hear a speaker, find vendors or get away from the desk, and each goal shapes a different part of the event. Knowing the mix early lets you balance sessions, breaks and the expo floor.
What you learn
Bars with the share and count for each goal, since attendees can pick several, with every typed Other answer listed beside the chart.
Make it yours
When Meet people in my field leads, plan longer breaks and a networking session; when Find tools or vendors leads, give the expo hall more time on the agenda.
Question 2 of 3 · Ranking · Optional

Rank the tracks you plan to attend

Why ask it
Room sizes and session times depend on how many people want each track. A ranking makes attendees choose, which a list of ticked boxes doesn't.
What you learn
The average place of each track, so you can see which track most attendees put first and which they put last, and how that changes as more tickets sell.
Make it yours
Replace the tracks with your own, and for a longer list turn on Rank only the top so attendees pick their top three in order.
Question 3 of 3 · Text · Optional

Do you have any dietary or accessibility needs we should plan for?

Why ask it
Catering and venue teams need numbers and details weeks ahead. One open question collects diets, allergies, step-free access or an interpreter while there is still time to arrange them.
What you learn
Each answer with its sentiment and theme, filterable by theme, so dietary and access requests can be read as separate lists, with up to 8 themes and their trends.
Make it yours
Ask for what to arrange, such as a vegan meal or step-free seating, and leave out medical details, which Usertick's terms don't allow.

What the answers show

Results turns each question into numbers you can follow week by week.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

Put the link in the confirmation

Add the survey link to the confirmation email your ticketing tool sends, so every buyer sees it when the ticket arrives. Usertick doesn't send a survey after a purchase in another system on its own.

  2. 02

Share needs with the right team

On every plan, a workflow adds each response to a Google Sheet, so the caterer and the venue team work from the same list of needs.

  3. 03

Rank only what you can move

List only the tracks whose room or time slot you can still change, so the ranking turns into a decision.

  4. 04

    Read it before the deadline

Note the date your venue and caterer need final numbers, and read the answers the day before. Late buyers can still answer, and a final check a week out catches their needs.
