Speaker experience survey template

Make speakers want to come back, by asking how you looked after them

Three questions for your speakers after the event: a rating for the briefing, the tech check, the room setup and support on the day, whether they would speak again and what next year's speakers should know. Use it as it is or change any question, and Usertick reads every written answer for you.

What this event speaker survey tells you

An event speaker survey asks the people on your stage how you looked after them, from the first briefing to the walk-off. This template takes about a minute: one rating grid for four parts of the speaker experience, a yes or no on speaking again and one open question with advice for next year's speakers. A short survey gives speakers an easy way to say what happened backstage without writing a complaint.

It is written for an email to your speakers after the event, sent by Usertick to a speaker contact list. The same template also runs as a link in your own thank-you email, so it can come from the person who managed the speakers. Answers sent through Usertick email are tied to each speaker's contact, so you know who said what and can follow up.

Every written answer is read as it arrives and filed under a category such as sessions and speakers or venue and rooms, with a type and an urgency, and each response gets a customer risk reading. Results draws a heat map of the four ratings with their averages and shows the share who would speak again.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Matrix · Optional

How would you rate the following?

Why ask it
A speaker's day depends on four handoffs you control: the briefing, the tech check, the room and the help on the day. Rating them apart shows which handoff failed.
What you learn
A heat map with a row for each part and its average, so a good briefing with a poor audio setup stands out across all speakers at once. Select a low rating on a row to read what those speakers advised.
Make it yours
Add rows for what you offered, such as travel booking or a green room, and remove the tech check if you didn't run one.
Question 2 of 3 · Yes / No

Would you speak at our event again?

Why ask it
Good speakers are invited to many events. Whether they would come back to yours is the clearest sign of how the day went for them.
What you learn
The share that said yes, compared with the period before. Select No to read those speakers' ratings and comments together. Over time, the share shows whether changes to the briefing or the tech check kept more speakers.
Make it yours
Call every speaker who said no before you open next year's call for speakers.
Question 3 of 3 · Text · Optional

What should we tell next year's speakers?

Why ask it
Speakers give practical advice when it is for the next person, such as where the loading door is or how the confidence monitor works, and the answers double as an honest list of what went wrong.
What you learn
Each answer with its sentiment and theme, filterable by theme, with up to 8 themes and their trends. Usertick marks each as an idea, a complaint or praise.
Make it yours
Copy the most useful answers into next year's speaker briefing, word for word.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Send it within a week

Speakers move on to their next event quickly. Send it within a few days, while the room and the tech check are still clear in their minds.

  2. 02

Send it from the speaker manager

Set the sender name to the person who managed your speakers and make them the reply-to, so a speaker who replies reaches someone they know.

  3. 03

    Keep speakers apart from attendees

Ask speakers in their own survey, so their ratings of the setup don't mix with attendee ratings of the same sessions. Their answers about the setup also help the AV and venue teams plan the rooms.

  4. 04

    Follow up on every No

On every plan, a workflow posts each new response to your team's Slack channel or Microsoft Teams, so someone reaches out to an unhappy speaker the same week.
