Lease renewal survey template

Learn what would keep a tenant, while the renewal offer is still open

Three questions sent with the renewal offer: how fair the new rent feels, what would make it easier to stay and whether the tenant is leaning toward renewing, negotiating or moving out. Use it as it is or change any question, and Usertick reads every written answer for you.

What this lease renewal survey tells you

A lease renewal survey asks tenants how they feel about the renewal offer before they decide, while there is still room to respond. This template takes about 35 seconds: a fairness score for the new rent, the changes that would make staying easier and what the tenant is leaning toward.

It is written for an email that goes out with the renewal offer. The survey opens with a ten-step scale, so the email shows a button that opens the survey page. The same template also runs as a link inside the renewal letter your own system sends, as a QR code printed on a paper offer, or as a popup in your tenant portal when it runs on your own domain.

Every typed Other answer is read as it arrives and filed under a category from your list, such as rent and fees or maintenance and repairs, with a type and an urgency. Results shows the average fairness score with a column per step, the share of each change tenants ask for and the split between renewing, negotiating, moving out and undecided.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Big scale

How fair does the new rent feel?

Why ask it
How fair an increase feels can matter as much as the number itself. A ten-step scale shows the difference between grudging acceptance and real anger.
What you learn
The average and a column per step, compared with the period before, so you see how this year's increases landed against last year's.
Make it yours
Move the last question to the top when you want tenants to answer inside the email, since a multiple choice question can be tapped in the message.
Question 2 of 3 · Multiple choice · Optional

What would make it easier to stay?

Why ask it
A tenant who would stay for a smaller increase, a finished repair or a longer lease is telling you the price of keeping them. Five common asks, plus Other, turn that into a list you can act on.
What you learn
Bars with the share and count of each ask, with every typed Other answer listed beside the chart. Select A smaller increase to see how those tenants scored fairness.
Make it yours
Offer only what you can give. Remove Allowing pets if the building can't allow them, and add asks you can meet, such as a parking space.
Question 3 of 3 · Multiple choice

What are you leaning toward?

Why ask it
The answer sorts tenants into four groups your team handles differently. Tenants who are negotiating or undecided are the ones a call can still keep.
What you learn
A donut with the share and count of each answer. Select Negotiating to see what those tenants asked for and how fair they found the rent.
Make it yours
Call every tenant who chose Negotiating or Undecided within a few days, while the offer is still open.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Send it with the offer

Put the survey link in the renewal offer, or send the survey from Usertick on the same day, so tenants answer while they are reading the new terms.

  2. 02

    Leave time before the deadline

Send renewal offers early enough that a conversation can still change the outcome, and schedule the survey email up to 30 days ahead when you set the offer date.

  3. 03

    Call the undecided first

Assign each Negotiating or Undecided answer to the property manager in the inbox, and set the status after the call.

  4. 04

    Watch fairness over time

Compare the fairness score from one renewal season to the next. A drop after a larger increase shows how tenants took it before the move-outs do.

Yes. Tenants who renewed at once can still tell you how fair the rent felt, which helps you price the next round. Their answers sit under Renewing in Results.

Read what those tenants asked for in the second question and how they scored fairness. A pattern across the building points to a change that could keep the next group, even if this one has decided.
