Event volunteer survey template

Keep your volunteers coming back, by asking how their shift went

Three questions for the day after your event: a rating for the briefing, the shift length, breaks and food and feeling appreciated, whether volunteers would help again and what would make the next shift better. Use it as it is or change any question, and Usertick reads every written answer for you.

What this event volunteer survey tells you

An event volunteer survey asks the people who staffed your doors, desks and rooms how the day went for them. This template takes about a minute: one rating grid for four parts of a volunteer shift, a yes or no on volunteering again and one open question about the next shift. Volunteers give their time for free, and how the shift felt decides whether they sign up again next year.

It is written for an email the day after the event, sent by Usertick to your volunteer list. The same template also runs as a link in your volunteer group chat or thank-you message, or as a QR code at the volunteer desk as shifts end. Answers sent through Usertick email are tied to each volunteer's contact, so your coordinator can follow up on a problem shift.

Every written answer is read as it arrives and filed under a category such as food and breaks or registration and check-in, with a type and a sentiment, and urgent answers are flagged. Results draws a heat map of the four ratings with their averages and shows the share who would volunteer again.

The 3 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 3 · Matrix · Optional

How would you rate the following?

Why ask it
A volunteer's day turns on four things you control: a clear briefing, a fair shift, a real break with food and a thank-you. Rating them apart shows which one to fix.
What you learn
A heat map with a row for each part and its average, compared with the period before, so a long shift or a missed break stands out. Select a low rating on a row to read what those volunteers wrote about the next shift.
Make it yours
Add rows for what matters at your event, such as travel costs or the volunteer T-shirt, and keep Feeling appreciated in the grid.
Question 2 of 3 · Yes / No

Would you volunteer with us again?

Why ask it
Volunteers who come back need less training and know where everything is. Whether they would help again is the number to protect. Asked the day after, it catches the volunteers who are tired but would still help with a better shift.
What you learn
The share that said yes, compared with the period before. Select No to read those volunteers' ratings and comments together.
Make it yours
Read every No before you recruit for the next event, since one change to shifts or breaks can keep several volunteers.
Question 3 of 3 · Text · Optional

What would make the next shift better?

Why ask it
Volunteers see problems attendees never notice, such as a desk with no chair or a radio channel nobody answered. Asking about the next shift gets practical fixes.
What you learn
Each answer with its sentiment and theme, filterable by theme, with up to 8 themes and their trends. Usertick marks each as an idea, a complaint or praise and flags the urgent ones.
Make it yours
Share the top themes with your volunteer leads before the next briefing.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

    Send it the next day

Schedule the send before the event ends, so volunteers get it the morning after, while the shift is still fresh.

  2. 02

Keep volunteers in their own survey

Ask volunteers separately from attendees, so a hard shift doesn't pull down your attendee scores and each group gets its own results.

  3. 03

Check the age of your volunteers

Usertick's terms don't allow surveys aimed at people under 16, so leave younger volunteers off the list and ask them in person.

  4. 04

    Thank them with the results

When you invite volunteers back, tell them what you changed because of their answers, such as shorter shifts or a proper lunch break.

Frequently asked questions

The day after the event, while volunteers remember the shift. For a festival or a multi-day event, send it after their last shift.

Yes, by link or QR code. Turn on anonymous responses and share the survey as a link, and no user ID, traits or visitor ID are stored with the answers; country and a salted hash of the IP address are kept. A survey sent through Usertick email ties each answer to the volunteer's contact.

Few enough to answer on the way home. This template asks three, and the rating grid shows one row at a time on a phone.

Select the low ratings to read those volunteers' comments, then plan a visible thank-you for next time, such as a debrief, a shared meal or a mention from the stage.

The first question is a rating grid, so the email shows a button that opens the survey. Move the yes or no question to the top when you want an answer inside the email.
