Usertick
Post-closing survey template

Check that closing went as promised, and whether buyers would send friends your way

Four quick questions for buyers a week after closing: whether it happened on the planned day, any surprises in the paperwork or costs, the key handover and a recommendation score. Use it as it is or change any question, and add an open question when you want the reasons in the buyer's words, which Usertick reads for you.

What this post-closing survey tells you

A post-closing survey checks the last step of a purchase, where small slips leave a lasting mark. This template asks four questions in under 30 seconds: whether closing happened on the planned day, whether the paperwork or costs held surprises, how the key handover went and how likely the buyer is to recommend you.

It is written for an email a week after closing, with the first question inside the email so one tap on Yes or No starts the survey. The same template also runs as a link in your own thank-you message, as a QR code on the card that comes with the keys, or as a popup on your agency's website.

Results shows the share of closings that happened on the planned day and the share with surprises, the key handover rating and the recommendation score, each against the period before. Choose Yes on the surprises question to see how those buyers scored you. When you add an open question, Usertick reads each answer and files it under a category from your list, such as rent and fees or moving in and out.

The 4 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 4 · Yes / No

Did closing happen on the planned day?

Why ask it
A moved closing date can upset a moving truck booking, a rate lock or the end of a lease. A plain yes or no counts how often your closings slip.
What you learn
The share that said yes, compared with the period before. Select No to see whether late closings also scored lower on the recommendation.
Make it yours
Add a multiple choice question after it, with skip logic so only a No reaches it, to ask what caused the delay, such as the lender, the title work or the inspection.
Question 2 of 4 · Yes / No

Were there any surprises in the paperwork or the costs?

Why ask it
Unexpected fees at the closing table are what buyers complain about long after the move. Asking directly shows whether your cost estimates hold up.
What you learn
The share that said yes, which on this question is the share with surprises, so a lower number is better.
Make it yours
Add an optional text question after it, with skip logic so only a Yes reaches it, so buyers can say which cost surprised them.
Question 3 of 4 · Stars

How would you rate the key handover?

Why ask it
The key handover is the moment the buyer finally owns the home. A rating shows whether it felt like a celebration or a scramble for keys, codes and remotes.
What you learn
The average, a bar per rating and the share who rated 4 or higher, against the period before.
Make it yours
Rename it for the handover you run, such as the final walk-through and the keys.
Question 4 of 4 · NPS

How likely are you to recommend us to a friend who's buying a home?

Why ask it
Past buyers who recommend you bring in future clients, and a week after closing the whole sale is still fresh. The score also catches buyers who are unhappy about something the first three questions missed.
What you learn
The score, promoters minus detractors, with a bar of detractors, passives and promoters, per device, and a score line over time.
Make it yours
Assign each detractor to the agent or the closing coordinator in the inbox, so someone calls before the buyer tells friends.

What the answers show

Results turns each question into numbers you can follow week by week.

How would you rate the key handover?

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

Send it a week after closing

By then the buyer has the keys, the boxes are moving and the closing costs are on their statement. Schedule the email when the closing date is set, up to 30 days ahead.

  2. 02

Add the reasons with skip logic

Skip logic works on any answer on every plan. Send a No on the first question or a Yes on the second to a short follow-up question, so you learn the cause without lengthening the survey for everyone.

  3. 03

    Compare your partners

Add a question that names the lender or the title company, then select each one in Results to see where surprises and delays come from.

  4. 04

    Thank the promoters

Buyers who score 9 or 10 are the ones to ask for a referral. A note from the agent within a few days keeps the relationship going.

Frequently asked questions

About a week after closing. Usertick doesn't send it automatically when a deal closes in your CRM or transaction software, so send it from Usertick or schedule it when the closing date is set.

That question asks about surprises, so Yes means the buyer found something unexpected. Read its share the other way round from the closing date question.

Yes, with a separate copy for sellers. Reword the key handover question for the move-out and the final walk-through, and keep the recommendation score so the two sides can be compared.

Yes. Write the agent's name in the email subject and intro, or run one copy of the survey per agent, so each agent sees their own scores.

Check whether late closings also scored lower on the recommendation, then look for the cause. When delays trace back to one step, such as the appraisal or the loan approval, fix that step with the partner involved.
