Vacation rental survey template

Hear what guests noticed about your rental, the day after they check out

Four questions for guests after a stay: how easy check-in was, how the place rated on cleanliness, accuracy, comfort and location, how the host did and what future guests should know. Use it as it is or change any question, and Usertick reads every written answer for you.

What this vacation rental survey tells you

A vacation rental guest survey asks guests about the stay while the trip is still fresh, so you hear about problems directly and in detail. This template takes about a minute: an effort score for check-in, a grid for cleanliness, accuracy of the listing, comfort and location, a rating for the host and an open question about what future guests should know.

It is written for an email the day after check-out, with the check-in score inside the email. The same template also runs as a QR code in the welcome book or on the fridge, as a link in the message you send guests through your booking channel, or as a popup on your direct booking website.

Every written answer is read as it arrives and filed under a category from your list, such as moving in and out or maintenance and repairs, with a type and an urgency, so a broken heater reported by one guest is fixed before the next arrives. Results shows the share who found check-in easy, a heat map of the grid and the host rating, each against the period before.

The 4 questions, one by one

What each question asks, why it is there, what it shows you and what to change.

Question 1 of 4 · Customer effort

How easy was check-in?

Why ask it
Check-in is the first thing guests do and the part most likely to go wrong: a lockbox code that fails, unclear directions, a late arrival in the dark. An effort scale measures that friction directly.
What you learn
The average on the 1 to 7 scale and the share who found it easy, with a hard-to-easy bar, against the period before, so a new smart lock or rewritten instructions show their effect.
Make it yours
Keep it first. In the email the scale sits inside the message, so one tap starts the survey.
Question 2 of 4 · Matrix · Optional

How would you rate the following?

Why ask it
Cleanliness and an accurate listing are the first things guests check when they walk in, and a weak row tells you exactly where to act. Comfort and location fill in the rest of the stay.
What you learn
A heat map per row with row averages. A low average for Accuracy of the listing means the photos or the description promise more than the place delivers.
Make it yours
Add rows for what your rental offers, such as the kitchen, Wi-Fi or parking, and keep the grid short, since it shows one row at a time on a phone.
Question 3 of 4 · Stars

How would you rate your host?

Why ask it
The host's replies, tips and help when something breaks shape the stay as much as the place does. Rating the host on its own separates service from the property.
What you learn
The average, a bar per rating and the share who rated 4 or higher. When co-hosts or a management company share the work, one copy of the survey per host lets you compare them.
Make it yours
Name the host in the email intro, so guests know who they are rating.
Question 4 of 4 · Text · Optional

Is there anything future guests should know?

Why ask it
Guests write things for the next guest that they would never put in a complaint: the shower takes a minute to warm up, the street is loud on Saturdays. Those notes improve your listing and your welcome book.
What you learn
Each answer with its sentiment and theme, filterable by theme. Usertick reads each one as it arrives and flags the urgent ones, such as a broken lock or a gas smell, for the cleaner or the host.
Make it yours
Turn the most useful tips into lines in your welcome book or your listing description.

Tips for this survey

Small choices that keep people answering and the answers useful.

  1. 01

Send it the day after check-out

The trip is still fresh and the guest is home again. Usertick doesn't read check-out dates from your booking channel, so schedule the email when the booking comes in, up to 30 days ahead.

  2. 02

    Ask returning guests again

Skip people who already received this survey is on by default, so a guest who comes back next summer would be skipped. Turn it off when you want every stay asked.

  3. 03

    Act before the next arrival

On every plan, a workflow can post urgent answers to Slack or Microsoft Teams, so the cleaner or the handyman sees a broken heater before the next guests arrive.

  4. 04

    Keep one survey per property

Results doesn't split answers by property, so run one copy per rental and compare them on a dashboard.
