Business travel policy survey questions

Travel policy questions that show what the rules cost the people on the road

Ask employees who travel for work about booking within policy, the booking tool, expenses and the limits that feel out of date. Each question below comes with when to ask it and what the answer tells you.

What business travel survey questions tell you

Business travel survey questions ask employees how the travel policy works in practice: how easy it is to book within the rules, how often the rules get in the way, how long expenses take to come back and which limits feel out of date. Travel managers see spend and exceptions; these answers show the time and goodwill the policy costs the people who travel.

Ask once or twice a year, and again after a policy change, with a link shared in the company chat or by email. Pick six to eight questions for employees who traveled in the past year. A link or QR code survey can keep answers anonymous, which helps employees speak openly about limits and approvals.

Written answers get a category, a theme and a sentiment, so the same complaint about hotel limits in one city or slow approvals adds up across teams. On every plan, a workflow can add each response to a Google Sheet for the finance team.

The 14 business travel policy questions, with when to ask each

Grouped by what they tell you. Use them as they are or change the wording.

Booking within policy

Effort, friction, knowledge of the limits, the tool and the statements grid show how the policy works day to day.

  1. 01Customer effort

How easy is it to book a trip within company policy?

A customer effort score for booking within policy, on seven points. Results shows the average and the share who found it easy; compare it with the period before a new tool or rule.

  2. 02Multiple choice

How often does policy stop you booking what you need?

How often the policy blocks what the employee needs, from never to every trip. The donut shows the share for each, and selecting Often shows which limits those employees flag.

  3. 03Yes / No

Do you know your nightly hotel limit without looking it up?

A yes or no on knowing the nightly hotel limit without checking. A low share of yes answers means the policy is hard to remember, and some out-of-policy bookings may be honest mistakes.

  4. 06Stars

How good is the tool you book through?

A star rating for the booking tool. Results shows the average and the share who rated 4 or higher, a fair score to bring to the tool provider at renewal.

  5. 12Matrix

How true are these about work travel?

Four statements on approvals, clear rules, booking by phone and help when a trip goes wrong, each from strongly disagree to strongly agree. The heat map shows which statement fails.

Expenses and repayment

Days to repayment and out-of-pocket spending show what travel costs employees before the company pays them back.

  1. 04Ruler

How many days does it take to get your expenses back?

Days to get expenses repaid, from 0 to 45. Results shows the median and the middle half; a long upper end points to approval steps or the finance team's payment cycle.

  2. 10Yes / No

Have you paid out of pocket and waited to be repaid?

A yes or no on paying out of pocket and waiting to be repaid. Select Yes in Results and read the repayment days to see what the wait costs employees in practice.

The policy itself

Ask which parts feel outdated, what matters on a flight and where the budget should go before you rewrite the policy.

  1. 05Multiple choice

Which parts of the policy feel out of date?

Every part of the policy that feels out of date, with Nothing for those happy with it. The bars give you an order for the next policy review.

  2. 11Multiple choice

What matters most when the company books your flight?

What matters most when the company books the flight, from the lowest fare to flexible changes. The donut shows how many employees put rest or points ahead of price.

  3. 13Points allocation

Split 100 points across what the travel budget should protect

Employees split 100 points across direct flights, better hotels, legroom, transfers and a day to recover. Results shows the average points per item, a guide for where to spend the budget.

  4. 07Text

What in the travel policy should change first?

An open question on what to change first. Each answer gets a theme and a type, so ideas and complaints about the policy sort themselves for the travel manager.

How travelers are treated

Nights away, the care score and the open question show how travel weighs on the employees who do the most of it.

  1. 08Number

How many nights were you away for work in the past year?

Nights away for work in the past year, from 0 to 200. Results shows the median and the middle half; use it to read the care score for frequent travelers on its own.

  2. 09Big scale

How well does the company look after you when you travel?

How well the company looks after travelers, from 1 to 10. Results shows the average and a column per step; it is the score to follow from one policy version to the next.

  3. 14Text

What do you wish your travel manager understood?

An open question for the travel manager. Answers get a theme and a sentiment, and they explain the scores above in the employee's own words.

Tips for asking about business travel policy

Small choices that get honest, useful answers.

  1. 01

    Ask only recent travelers

Send the survey to employees who traveled for work in the past year. Others can't judge the tool or the repayment wait.

  2. 02

    Offer anonymous answers

Share the survey as a link or QR code so no user ID, traits or visitor ID are stored. Anonymity doesn't hold for surveys sent through Usertick email.

  3. 03

    Ask again after a change

Run the same questions after a new limit or booking tool, so the period comparison in Results shows what changed.

  4. 04

    Share expenses with finance

Repayment times and out-of-pocket answers are for finance to fix. Send them to a Google Sheet through a workflow on every plan.

Add these questions to a survey

From the library to the first answers.

  1. 1

    Open the library

In the Usertick survey editor, choose From library, filter by industry and topic, and add several questions at once.

  2. 2

    Or paste your own list

Paste questions reads up to 10 questions from any text on Free, 100 on Starter and 200 on Pro and above, keeps your wording and picks an answer type for each.

  3. 3

    Choose where it runs

Show the survey on your website, send it by email, share its link and QR code, or switch it to a conversation.

  4. 4

    Read the answers

Results counts every score and choice, and Usertick reads each written answer and files it by topic, on every plan.
