Patient satisfaction surveys that find the long waits and unclear bills

Ask patients the same day, by email, in the text you already send or on a QR code at reception. Usertick reads every comment, files it under booking, waiting times, care, staff and billing, and sends the urgent ones to the person who can help.

What patients don't say at the front desk

A patient satisfaction survey shows how a visit felt from the other side of the desk: how easy it was to book, how long the wait was, whether someone listened and whether the bill made sense. Those details shape whether a patient books again, and they rarely come up in person.

With Usertick, the survey reaches patients while the visit is fresh: by email after the appointment, as a link in the text your booking system sends, on a QR code in the waiting room or on your booking pages. Keep every question about the visit itself, and leave symptoms, diagnoses and treatments out.

Every written answer is read as it arrives and filed under waiting times, booking, care, staff or billing, with its urgency. Results compares each score with the period before, and workflows send urgent answers to the practice manager in Microsoft Teams or Slack.

Ask while the visit is still fresh

Reach patients the same day, in the places they already look.

By email after the appointment

Import the day's patients from a CSV file or paste their addresses, and send at once or at a time you set. The rating sits inside the email, and one tap opens the rest of the survey.

On a QR code at reception

Print the code on a card at the front desk or in the waiting room, and patients answer on their phone before they leave. The code points to the live survey, so an edit never needs a reprint.

In the text you already send

Paste the survey link into the follow-up text your booking system sends after each appointment, tagged as a text message, and patients answer on their phone in a minute.

After a video visit

Put the link in the message that closes the call, or email it the same day, and ask how easy it was to join and whether patients would choose video again.

On your booking pages

Show a short survey on the page that confirms an online booking, on every plan, or open it from your portal's code with an event. Events are Starter and above, and 1 survey on Free.

Every comment filed the way a practice works

When you choose Healthcare at sign-up, Usertick files every written answer under booking and appointments, waiting times, care and treatment, staff and communication, billing and insurance, records and privacy, or app and online access, each with a theme, a type and an urgency. Rename the categories on any plan, and add your own within your plan's limit, from 5 categories on Free to 30 on Business.

Get each answer to the person who can fix it

Workflows route answers by their urgency, category or score as they arrive.

Urgent answers to the practice manager

When an answer reads as urgent, Usertick posts it to Microsoft Teams or Slack, or notifies the teammates you choose. Every plan.

Billing questions to the billing team

Send answers filed under billing and insurance to the billing channel, with buttons to take them on or set their status. Every plan.

An owner for every complaint

Give each complaint an owner and a status in the inbox, add notes for the team, and follow it through to Resolved.

An alert when complaints rise

Set a line, such as 10 complaints in 7 days. Usertick checks every hour and posts to Teams or Slack once it is crossed. Every plan.

A weekly report for each clinic lead

Send a survey's results or a dashboard as a PDF every Monday, by email to up to 50 members or to a Teams or Slack channel. Pro and above.

Ask about the care, and keep health details out

Usertick doesn't sign HIPAA business associate agreements, so ask about booking, waiting, staff and the bill, and leave symptoms, diagnoses and treatments out of every question. For sensitive services, turn on anonymous responses and share the survey by link or QR code, and no user ID or visitor ID is stored with the answers. On Business, limit each role to its own surveys, so each clinic sees only its own patients' answers.

Works with the tools your practice uses

Send answers to Microsoft Teams, Slack, Google Sheets or your help desk, and reach Freshdesk, Help Scout, Outlook, Gmail or Excel through a Zapier step. Every plan.

How practices start with Usertick

Four steps from a template to the first answers in your team's channel.

  1. 1

    Start from a template

Pick Appointment experience, Dental visit, Telehealth visit or Wait time and front desk, or describe your practice to Create with AI.

  2. 2

    Choose how patients get it

Send it by email after the visit, paste its link into your texts, print its QR code for reception, or show it on your booking pages.

  3. 3

    Decide what stays private

Turn on anonymous responses for sensitive services, and on Business, give each clinic a role that opens only its own surveys.

  4. 4

    Route what comes back

Add a workflow that posts urgent answers to Teams or Slack and sends billing questions to the billing team.

How practices get honest patient feedback

Six habits that keep surveys short, safe and worth answering.

  1. 01

    Ask the same day

Send the email or the text within hours of the appointment, while patients still remember the wait and the conversation.

  2. 02

    Keep questions about the visit

Ask about booking, waiting, staff, cleanliness and the bill. Leave symptoms, diagnoses and medications out of every question.

  3. 03

Say where to get urgent help

Open the survey with a welcome screen that says it isn't read around the clock and gives the number to call for urgent care.

  4. 04

    Ask parents about children's visits

Usertick's terms don't allow surveys aimed at people under 16, so address a survey about a child's visit to the parent or guardian.

  5. 05

Give each location its own code

Print one tagged QR code per clinic or desk, so every answer keeps the place it came from.

  6. 06

    Offer a call back

Ask whether patients would like someone to follow up, and give every yes an owner in the inbox.

Frequently asked questions

No. Usertick doesn't sign HIPAA business associate agreements, and its terms don't allow protected health information in surveys unless Usertick agreed to it in writing. Use Usertick for the experience around care, such as booking, waiting, staff and billing, and keep symptoms, diagnoses, treatments and medical records out of every question.

Usertick keeps a salted hash in place of each IP address, sets no third-party cookies, and keeps the names, emails and phone numbers from a contact question away from the AI reading. Members sign in with two-factor authentication, which the owner can require, and the activity log records every change. The Data Processing Addendum applies on every plan, and the sub-processors page lists each provider and where it runs.

Yes, on every plan. Turn on anonymous responses, and Usertick stores no user ID, traits or visitor ID with the answers; the country and a salted hash of the IP address are still kept. Share an anonymous survey by link or QR code, because a survey sent through Usertick email still ties each answer to the patient's contact, and leave out questions that ask for a name.

Import the day's patients from a CSV file or paste their addresses, then send at once or schedule the email up to 30 days ahead. Each send goes out once, with no reminders. Usertick doesn't send text messages, so for a text, paste the survey link into the message your booking system already sends.

No. Usertick has no connection to practice management, booking or electronic health record systems. Put the survey link in the emails and texts your system already sends, or import a list of the day's patients into Usertick and send from there.

Yes, on Business and above. Give each clinic its own survey, then limit a custom role to that clinic's surveys, so its staff see only those answers in Results, the inbox and dashboards. On any plan, a question that asks which clinic the patient visited lets you filter Results to one clinic.

Run one survey in up to 3 languages on Starter and in every available language on Pro, and each patient sees their browser's language when the survey has it. Every question except a signature works with a keyboard, screen readers hear errors and timers, and the survey follows reduced motion and high contrast settings. Usertick doesn't claim a WCAG conformance level.

Every written answer is read for its urgency as it arrives, on every plan. A workflow, also on every plan, posts urgent answers to Microsoft Teams or Slack or notifies the teammates you choose. A survey isn't watched around the clock, so tell patients on its first screen where to get urgent medical help.

Until you delete them. Deleting a survey deletes its answers, the REST API erases one response or everything one person sent on Pro and above, and Usertick support carries out an erasure on your documented request on any plan. Your plan sets how far back you can see: 30 days on Free, 1 year on Starter, 2 years on Pro and 5 years on Business. Older answers are hidden until you upgrade.

Email, link and QR code surveys, anonymous responses, Results, AI reading and workflows to Teams and Slack come with every plan, and Free covers 150 responses a month. Starter adds 3 languages per survey and more workflows, Pro adds scheduled reports and every available language, and Business adds roles per clinic.

Listen better, act faster, and build what truly matters.
